Waystone is looking for an Administrative Assistant to be the first point of contact for guests, employees, and individuals served. As our Administrative Assistant you will help by creating a welcoming environment while ensuring the administrative needs are met. Location: 439 South Union Street, #401 Lawrence, MA 01843

Schedule: Monday-Friday 8:30am-4:30pm. This position is not remote, it is on-site at our main office. This position is benefit eligible as of date of hire.

Compensation: This is a 40 hour non-exempt, full-time position. The hourly rate is $21.00.

Job Responsibilities

  • Deliver high-quality customer service by managing daily administrative tasks such as answering phones, responding to emails, accurate data entry, updating internal databases, preparing presentations, scheduling conference rooms, and assisting with other administrative needs.
  • Monitor inventory levels and order office, medical, and maintenance supplies to ensure the facility remains well-stocked and fully functional.
  • Serve as a point of contact for vendors, offering professional assistance and addressing inquiries in a timely and courteous manner.

Additional Responsibilities

  • Support multiple departments with ad hoc tasks, special projects, and general administrative needs as assigned.
  • Exercise sound judgment and maintain a solution-oriented approach when handling a variety of administrative and operational situations.
  • Demonstrate excellent organizational skills and attention to detail in all aspects of work.
  • Ensure proper maintenance of office equipment and coordinate with service providers for timely repairs or servicing.
  • Support safety initiatives by assisting with emergency preparedness and evacuation protocols as directed.

Qualifications

  • High School Diploma or equivalent with a minimum of 2 years of comparable experience in an administrative or office support role, preferably in a human services or nonprofit setting.
  • Bilingual in English and Spanish preferred.
  • Demonstrated proficiency in Microsoft Office Suite (including Word, Excel, and Outlook), along with comfort using general office technology and equipment.
  • Strong communication and interpersonal skills, along with the ability to multitask effectively in a busy office setting, are essential.
  • Ability to handle sensitive information with discretion and maintain strict confidentiality at all times.
  • Must be exceptionally organized and efficient, with the ability to prioritize tasks and manage office responsibilities in a fast-paced environment, even when faced with frequent interruptions.
