THE ROLE

We are seeking an Accounting Representative to join the HAIX North America team! The Accounting Representative is responsible for providing general assistance to the Finance Team with essential bookkeeping and accounting tasks. The duties and responsibilities include but are not limited to assisting with reconciling bank records, drafting financial documents, assisting with AP and AR activities, issuing customer statements, and serving as a general administrative assistant for the Finance team.

This is a full-time position and will report directly to the Director of Finance & HR working in our Lexington, KY HQ.

THE JOB

Accounts Receivable & Cash Management:

o  Enter daily credit card transactions, bank deposits, and weekly PayPal transactions

o  Reconcile POS cash box weekly; perform bank runs as needed

o  Assist customers with AR inquiries and payments

Intext Software Transactions:

o  Import and export daily transaction data via Intext software

Accounts Payable:

o  Enter daily payables including invoices and credit card receipts

AR Reporting & Maintenance:

o  Maintain AR aging report and follow up on past-due accounts

o  Monitor Diverse and Internet accounts; send invoices and resolve discrepancies

o  Manage Hold Report (biweekly) and update Hold List (weekly)

Customer Statements:

o  Generate and email monthly customer statements

Petty Cash Management:

o  Reconcile petty cash quarterly and submit balance sheets to Finance Manager

Sales Tax Compliance:

o  Assist with sales tax filings (monthly, quarterly, annually) for multiple states

Monthly Financial Reconciliation:

o  Review company credit card statements and sales team expense reports

Backup Financial Support:

o  Provide coverage for core financial functions when needed

o  Complete additional finance tasks and projects as assigned

THE SKILLS NEEDED

· High School Diploma or equivalent required; Associate’s or Bachelor’s Degree in Accounting or Finance preferred

· 2-4 years of prior experience with AP/AR, bookkeeping reconciliations, tax preparations, auditing, and payroll administration.

· Strong Microsoft Excel skills

· Proficiency with Accounting Software

· Knowledge of Accounting Standards (GAAP)
