Job Summary

The Tradeshows and Strategic Events Manager will lead the strategy and execution of New World Medical’s global meetings and events program. This role is responsible for managing key industry conferences, trade shows, sales meetings, advisory boards, symposia, and other corporate-sponsored events that align with strategic marketing and commercial goals. The ideal candidate will have proven experience in high-level meetings and event planning, budget management, cross-functional collaboration, vendor management, and people leadership. This position includes management of at least one direct report and oversight of internal or external support roles as needed. The Tradeshows and Strategic Events manager will ensure seamless event execution while driving brand visibility, surgeon engagement, and internal team alignment.

Essential Job Duties And Responsibilities

  • Lead the development and execution of the global marketing trade show and events strategy, including establishing event objectives, budgets, timelines, and metrics for success.
  • Manage and mentor at least one direct report, guiding project ownership, career development, and performance.
  • Manage end-to-end planning for key international and domestic meetings with cross-functional stakeholders.
  • Oversee advance planning and execution of company presence at industry conferences, including booth selection, design, production timelines, regulatory coordination, and logistics.
  • Register for national meetings 1 year in advance, reserve booth location, work with product managers on product design needs at least 6 months in advance for approval and production of booth design, rental equipment, audio visuals, and collateral materials.
  • Provide registration, logistics support, and planning for major international meetings (including but not limited to: EGS, ESCRS, ICGS, Kaweh Mansouri meeting, APAO, PAAO, APGS).
  • Management and coordination of advisory boards, user meetings, and other corporate events from a logistics standpoint.
  • Coordinate cross-functional event kickoff meetings (virtual or live) to align stakeholders on event goals, booth staffing, lead capture processes, and logistical needs.
  • Oversee event marketing efforts, including invitations, promotional campaigns, and social media assets in collaboration with product managers.
  • Oversee registration, hotel accommodations, and on-site execution, including setup, real-time troubleshooting, and post-event debriefs, for both internal and external stakeholders.
  • Coordinate lodging and travel for attendees at national and international shows.
  • National Sales Meetings (NSM) planning and coordination in collaboration with the VP of US Sales.
  • Manage the utilization of Lead Retrieval Form or software for major meetings.
  • Organize sponsorship participation for company-hosted events.
  • Track, manage, and report event budgets, ensuring alignment with the annual Global Marketing budget.
  • Drive event-related reporting and analysis, including lead capture, attendance metrics, ROI assessments, and post-event summaries.
  • Manage third-party vendors and agencies to ensure contractual compliance, quality execution, and cost control.
  • Serve as point-of-contact for internal teams, external vendors, and partners for all meeting and event-related matters.
  • As necessary, assist with managing on-site execution (working with 3rd party coordinators where applicable) and wrap up for larger events.
  • Prepare domestic and international event marketing materials.
  • Support in the documentation of activities before and during the events for internal and external communications (meeting pre-registration lists where applicable/excel sheets/PowerPoints).
  • Adheres to all company policies, procedures, and business ethics codes.

Requirements

KNOWLEDGE, SKILLS AND ABILITIES:

  • Proven experience in strategic planning and execution of trade shows, conferences, and corporate events on a national and international scale.
  • Strong project and budget management skills with the ability to lead cross-functional teams and external vendors to successful, on-time outcomes.
  • Demonstrated leadership and people management experience, including mentoring junior team members and managing direct reports.
  • Ability to prioritize and manage multiple complex projects in a fast-paced environment while maintaining attention to detail.
  • Exceptional communication, negotiation, and interpersonal skills, with experience engaging with internal stakeholders, external partners, and executive leadership.
  • Creative problem-solver with a strategic mindset and a willingness to innovate and take calculated risks.
  • Collaborative team player with a positive, solutions-oriented attitude and the ability to motivate others toward shared goals.

Education And Experience

  • BS/BA in communications, marketing, or related field required; equivalent relevant work experience may be considered.
  • Tradeshow and Events experience required, with a proven track record of successfully managing national and international events.
  • Experience managing direct reports or cross-functional teams preferred, including oversight of vendors, contractors, or junior staff involved in event execution.

Physical Requirements

  • Able to travel up to 20% (domestic and internationally).
  • Able to lift up to 50 pounds. This may be performed with reasonable accommodation.
  • Must be able to remain in a stationary position at least 50% of the time.
  • Occasionally move about inside the office and travel to and from office buildings to access file cabinets, employee offices, office machinery, etc. This may include but is not limited to, bending and walking.
  • Must be able to operate a computer and other office productivity machinery, such as a computer printer, computer keyboard, calculator, etc.
  • Ability to listen and speak with employees, vendors and distributors. Must be able to exchange accurate information in these situations.
  • View and type on computer screens for long periods of time.
