Position
The Donor Services Executive Administrative Assistant will oversee all administrative duties for the Donor Services leadership team and provide data analysis and tracking support as needed. The individual must maintain a professional demeanor and composure. The Executive Administrative Assistant must work with minimum supervision, possess excellent organizational and communication skills, and work effectively and efficiently with co-workers and other departments in the organization. The individual must also exercise discretion in handling highly confidential information. In addition, he/she must be able to communicate with OBI's external customers and venders.

Qualifications
- High school diploma or GED required; BS degree preferred and/or 5 -10 years administrative experience
- Must have a valid driver's license
- Proficient in MS Word, MS Excel, MS PowerPoint, Smart Sheet, Outlook
- Possess a high level of critical thinking
- Excellent communication and interpersonal skills
- Superior organizational skills
- Detail oriented
- Capable of maintaining the highest level of confidentiality
- Ability to set goals and plan course of action
- Ability to work as a team member
- Provide administrative support for the Vice President of Donor Services.
- Work independently to prioritize and manage multiple tasks to meet deadlines.
- Prepare and update charts and graphs in support of leadership, to include Team meetings, ELM meeting slides, and Executive meeting slides.
- Assist leadership in scheduling internal and external meetings and project reviews.
- Assist Donor Services team with organizational and administrative tasks.
- Assist in agenda creation and meeting minutes.
- Organize department meetings; annual, quarterly, monthly, and holiday.
- Create and distribute a monthly metric success bulletin.
- Organize team building and engagement activities.
- Coordinate, maintain and create certificates, rewards, and awards for DS staff.
- Coordinate DS companywide meetings to include staff communication and scheduling, contract negotiations for location, menus, and other support equipment and/or supplies.
- Assist with coordination and set up of all DS leadership and other meetings as needed.
- Coordinate visits/meetings and maintain good working relationships with vendors.
- Maintain corporate credit card statements and department expenses, routing all accounts payable invoices for signatures.
- Manage PO and capital expense processing for Donor Services as needed.
- Order items as needed for leadership team (Amazon, Wal-Mart).
- Assist with report and excel data tracking as needed.
- Make travel arrangements for DS staff as necessary.
- Manage and/or support special projects and initiatives as directed, (jacket ordering, United Way, employee blood drive, etc.)
- General office support to include file management, scanning and copying as needed and phone support.
- Process incoming and outgoing mail.
- Coordinate event planning.
- Manage the Donor Services department intranet page.
