The Events and Marketing Specialist is responsible for coordinating internal events and marketing-related duties on a professional level in specialized functional areas.

While performing the duties of this position, the employee is regularly required to sit and use repetitive hand movements to type and grasp. The employee is frequently required to stand or walk and must occasionally lift and move up to 20 pounds.

The Events and Marketing Specialist is responsible for coordinating internal events and marketing-related duties on a professional level in specialized functional areas.
Description Of Primary Responsibilities
- Responsible for coordinating department administrative duties.
- Responsible for updating task assignments and due dates on Monday.com and coordinating reminders to the team when necessary
- Responsible for requesting quotes from multiple advertising vendors.
- Responsible for processing and tracking all accounts payable transactions within the Marketing and Communications division (i.e., invoices from vendors, receipts from subscriptions, check requests, etc.).
- Responsible for vendor relations and coordinating communications with vendors, including but not limited to thank you cards or scope of work.
- Responsible for processing sponsorships and delivering on sponsorship activation, ensuring contract obligations are fulfilled by sponsored parties and all marketing requests, including sending graphics and coordinating ticket giveaways, are executed.
- Responsible for maintaining current dignitary and community leader databases in market areas.
- Responsible for photography and videography production at FHCN-produced Community Health events.
- Responsible for maintaining inventory, including archive files of photography, artwork, and videos.
- Responsible for inventory record of marketing giveaways, such as pens, totes, mugs, etc.
- Cross-trained to serve as support or backup to all Marketing/Communications positions in the event of absence in said position.
- Responsible for developing, recommending, and implementing the network's Employee and Corporate Event programs.
- Responsible for recommending employee and corporate event initiatives and themes that reinforce Family HealthCare Networks’ business goals, vision, mission, and culture.
- Responsible for coordinating the FHCN Fun Committee to recommend employee events.
- Responsible for reporting insights and trends with the Marketing and Communications Manager to drive more effective/efficient employee and corporate event programs and outcomes.
- Manages the production of all internal and external corporate events, including, but not limited to, the FHCN Gala, Tenure Awards, mixers, picnics, etc.
- Responsible for production of all aspects of planning and executing logistics for FHCN Grand Openings and Ground Breakings from inception to completion.
- Manages events calendar and meets all event production deadlines.
- Responsible for managing vendor contracts and communications with stakeholders and vendors.
- Manages guest communications and registration of all events.
- Acts as the lead point of contact at all Network employee recognition events and is responsible for participating in the events.
- Responsible for completing event recaps and budget reviews. Responsible for launching the annual FHCN Anita de la Vega Scholarship Fund.
- Responsible for communications with local high schools and junior colleges to promote scholarship opportunities across four counties.
- Responsible for coordinating and leading the Anita de la Vega Scholarship Fund Committee.
- Responsible for developing and meeting timelines to execute the annual scholarship application cycle, review, and distribution of funds.
- Performs other duties as assigned.
Professional & Technical Knowledge:
- Possesses specific advanced knowledge and skills, including written and verbal communication skills, computational, computer and technical skills, and mathematical knowledge frequently acquired through completion of a Bachelor’s Degree program with a recognized major or comparable experience, and;
- Two years of event planning experience in a similar role with proven performance.
- Two years of marketing experience in a similar role with proven performance
- Advanced knowledge of Business and event production experience.
- Advanced proficiency in Adobe Creative Suite (InDesign, Illustrator, and Photoshop) and CANVA.
- Ability to prepare documents in Microsoft Word, including creating tables, charts, graphs, and other elements.
- Ability to use Microsoft Excel to review and compile data, including formulas, functions, lookup tables, and other standard spreadsheet elements.
- Ability to create dynamic presentations in Microsoft PowerPoint.
- Communications Skills:
- Job duties require the employee to effectively communicate their opinions, verbally and in writing, and create comprehensive recommendations related to internal employee engagement events and marketing initiatives.
- Responsible for the resolution of conflicts that may arise with event vendors and with employees related to event reservations.
- Compiles, analyzes and prepares information in an effective written form, including correspondence, reports, articles or other documentation.
- Effectively conveys technical information to non-technical audiences.
