Summary
The HR Administrator plays a vital role in supporting the Human Resources function at Ascent Geomatics Solutions. This role handles day-to-day HR administrative tasks to ensure smooth operations, accurate records management, and high-quality employee service. The HR Administrator collaborates closely with the HR Manager and other departments, contributing to the company’s commitment to compliance, data integrity, and employee engagement. This position works in close partnership with ADP TotalSource, our PEO partner, to manage co-employment responsibilities including benefits, compliance, and HR support.

The HR Administrator collaborates closely with the HR Manager and other departments, contributing to the company’s commitment to compliance, data integrity, and employee engagement. Expected Results In The Role
- Accurate and timely processing of HR transactions and maintenance of employee records.
- Professional and friendly support provided to employees and managers on routine HR matters.
- Smooth coordination of administrative aspects of HR programs and projects.
- Proactive communication and collaboration with the HR Manager to identify process improvements.
- Compliance with federal, state, and local employment laws in all HR documentation and processes.
- Maintain accurate and up-to-date employee records in HR systems (e.g., HRIS, ATS, SharePoint).
- Assist with the recruitment process, including posting jobs, scheduling interviews, coordinating candidate communications, and managing applicant tracking systems.
- Prepare new hire documentation and support the onboarding process for new employees.
- Process employee changes, terminations, and offboarding tasks in systems and documentation.
- Support benefits administration, including enrollments, changes, and responding to employee inquiries.
- Prepare standard HR reports and compile data for analysis as requested by the HR Manager.
- Assist in maintaining and updating HR policies, procedures, and the company’s HR SharePoint site.
- Respond to routine employee questions about HR policies, processes, and systems.
- Help coordinate performance review cycles and gather documentation for HR processes.
- Maintain confidentiality of sensitive employee information and ensure compliance with data privacy standards.
- Support HR projects as assigned, including audits, compliance tasks, or special initiatives.

- Strong written and verbal communication skills.
- Ability to handle confidential information with discretion and professionalism.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort learning new systems.
- Experience with HRIS, applicant tracking systems, or other HR software is a plus.
- Positive attitude and customer-service mindset.
- Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred. Equivalent work experience considered.
- 1-3 years of experience in HR administration, office administration, or related role.
- Experience working in a professional services or technical industry (engineering, surveying, architecture, etc.) is a plus.
- Must have a reliable internet connection and a designated, quiet workspace.
- Must be able to sit and work at a computer for extended periods.
- Standard work hours are Monday-Friday; flexibility may be required occasionally based on business needs.
- Occasional travel may be required for team meetings, trainings, etc.
