Extreme Music is seeking a dynamic Executive Assistant to support the CEO and two senior executives. The position will encompass a variety of administrative responsibilities requiring a high level of trust & confidentiality, excellent organizational & communication skills, and all-related interpersonal skills.
What You’ll Do (job Responsibilities)
The anticipated annual base salary for this position is $35.89- $38.46. This range does not include any other compensation components or other benefits that an individual may be eligible for. The actual base salary offered depends on a variety of factors, which may include as applicable, the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job.

What You’ll Do (job Responsibilities)
- Provide high-level executive support to CEO and two senior-level executives with attention to detail, planning and follow-up.
- Manage multiple complex calendars for executives including scheduling internal and external meetings.
- Facilitating weekly meetings, compiling meeting presentations, distributing material & meeting summaries, and tracking action items.
- Arrange & manage complex domestic and international travel including flights, hotels, and transportation ensuring efficiency and cost-effectiveness in accordance with company policy and compile travel documents for expense reimbursement.
- Planning, coordinating & facilitating companywide and management meetings/conferences including organizing budgets, schedules, venues, transportation, room set up, catering, preparing meeting materials for executives and attendees.
- Prepare accurate and timely expense reports in accordance with company policy.
- Create and prepare presentations, spreadsheets, and communications as directed.
- Maintain/archive files that may contain confidential information.
- Liaise and build relationships with other groups within the organization.
- PA support to CEO: Reconciling personal financial accounts, ad hoc errands, booking appointments, etc.
- Perform other related duties as assigned.
- Minimum of 5 years executive level administrative experience. C-suite or personal assistant experience preferred.
- Entertainment, music, or media industry experience is a plus
- Highly organized and detail-oriented with the ability to plan and anticipate needs of the team
- Ability to work under pressure, multitask, and problem solve.
- Ability to prioritize and complete all tasks in a timely manner
- Excellent communication skills, both written and oral
- Collaborative team player, working professionally with other departments, clients, and contacts.
- Honestly and trustworthiness with the ability to maintain confidentiality and discretion in all matters
- Proficient in MS Office: Outlook, Word, Excel, PowerPoint, Teams, OneDrive, SharePoint, OneNote
- Required to work standard 7.5-hour business day, plus considerable overtime, including late evenings, weekends and holidays, as needed
- Must be authorized to work in the United States
