Since 2015, Telespeech Therapy has been a trusted speech therapy practice committed to providing high-quality care to children and adults with communication challenges. We offer private clinic and school-based speech services to clientele from birth to geriatric in Kern County and across California. We're looking for a reliable and organized individual to support our growing practice by assisting the Office Manager with day-to-day operations, administrative tasks, and overseeing billing and insurance processes. Position Overview

The Office Manager, Assistant & Billing Specialist plays a crucial role in ensuring our clinic runs smoothly. You'll be a friendly face (or voice) to our families and clients, and the backbone that helps therapists focus on delivering care. This position blends front office management, administrative support, and medical billing responsibilities, particularly with speech therapy insurance claims and client payments. We are seeking an individual who is comfortable wearing many hats when needed and is committed to the overall mission of our company.

Key Responsibilities

Office Management:

  • Greet clients in person and by phone, providing excellent customer service
  • Schedule appointments and manage the therapy calendar
  • Manage office staff schedules
  • Maintain an organized and welcoming clinic environment
  • Order office and therapy supplies as needed
  • Complete HR tasks as required by industry and personnel needs

Administrative Support

  • Manage electronic medical records and maintain client files (HIPAA compliance required)
  • Handle intake paperwork and onboarding for new clients
  • Support therapists with documentation and reporting needs
  • Assist with communication between therapists and families

Billing & Insurance

  • Verify client insurance coverage and obtain prior authorizations
  • Submit insurance claims (including private insurers and Medicare) accurately and promptly
  • Track payments, follow up on denials, and resolve billing issues
  • Prepare client invoices and manage accounts receivable
  • Work with external billing software when needed

Qualifications

  • Previous experience in a medical office, ideally in a therapy or pediatric healthcare setting
  • Familiarity with speech therapy billing codes and insurance processes a strong plus
  • Strong organizational skills with attention to detail
  • Proficient in scheduling and billing software (e.g., Clinicsource, SimplePractice, Therabill, or similar)
  • Excellent communication skills and a warm, professional demeanor
  • Experience with systemizing processes and documentation
  • Proficient computer skills including documents, spreadsheets, slide presentations, and more
  • Knowledge of HIPAA regulations, HR compliance, and commitment to confidentiality

Schedule & Compensation

  • Part-time: 20–30 hours/week, Monday to Friday
  • Some flexibility in scheduling (based on staffing needs)
