Objectives:
As a Sales Order Administrator, you will play a pivotal role in managing the end-to-end sales order process and ensuring operational accuracy throughout our order-to-cash cycle. This role serves as a critical liaison between Sales, Finance, and Customer Success, enabling timely, accurate, and compliant deal execution. Your work directly impacts revenue recognition, operational efficiency, and customer satisfaction.
The Sales Order Administrator is essential to deliver a seamless and scalable revenue process. This role helps ensure we recognize revenue correctly, delight customers with fast onboarding, and empower Sales to focus on closing deals—not paperwork.
Key Responsibilities
This position is based out of our north Austin HQ with a minimum of 3 days (Tue – Thu) in the office each week. Limited travel is required.

Key Responsibilities
- Review quotes, opportunities, and contracts to ensure accuracy, completeness, and compliance with Red Oak’s pricing, discounting, and approval policies.
- Collaborate with Sales to troubleshoot workflow questions related to Salesforce and CPQ quoting tools.
- Maintain accurate and up-to-date sales order records in Salesforce and CPQ.
- Partner with Account Managers and Customer Success to ensure accurate renewal data—including contract value, revenue type (services vs. recurring), renewal timing, and churn metrics.
- Flag and escalate non-standard contract terms, ensuring required approvals are secured and contract language is properly updated.
- Manage Salesforce subscription records for both SaaS and product usage data to support accurate billing and revenue recognition.
- Coordinate provisioning triggers and handoffs between Sales, Customer Success, Implementation, and Finance.
- Identify and resolve discrepancies across quotes, contracts, and billing systems.
- Maintain organized documentation to support audit readiness and compliance reporting.
- Monitor and track order cycle times and service-level agreements (SLAs) to ensure timely bookings.
- Support onboarding and enablement for Sales and Customer teams regarding order workflows.
- Collaborate with SFDC Admin to recommend and implement workflow improvements across Salesforce and CPQ systems.
- Experience: 2–4 years of experience in Sales Operations, Deal Desk, or Order Management within a SaaS or recurring revenue business model.
- Technical Proficiency: Proficiency with Salesforce is required. Familiarity with CPQ, DocuSign, and billing platforms is highly preferred. Experience with tools such as Deal Hub, Salesforce CP!, Sage, Netsuite or HubSpot preferred.
- Operational Strength: Ability to interpret complex data, identify trends, and translate insights into actionable strategies.
- Industry Knowledge: Understanding of revenue recognition principles, billing cycles and Saas pricing structures with strong attention to detail.
- Communication: Effective cross-functional communicator with the confidence to collaborate assertively across Sales, Finance, and Customer teams. Demonstrated ability to work independently and within a collaborative team setting.
