Salary Range: $12.00 - $19.50

POSITION SUMMARY

Provides clerical support to the Realty Division by managing databases, maintaining files, coordinating meetings, preparing correspondences, and responding to inquiries from tenants and the public.

ESSENTIAL FUNCTIONS

  • Respond to commercial tenant inquiries and process property repair request;
  • Generate and close out commercial tenant work orders;
  • Maintain organized files for Section 184 residential, business, and long-term development leases;
  • Input data into Bureau of Indian Affairs Trust Asset Accounting Management System;
  • Greet visitors and determines nature of business in a professional and courteous manner;
  • Answers telephone, takes messages, and direct calls appropriately;
  • Coordinate the fueling and preventive maintenance of vehicle as needed;
  • Schedule meetings and prepare agendas and materials;
  • Receive, sort, and distribute incoming mail;
  • Monitor inventory and order office supplies as needed;
  • Assist with travel arrangements, as needed;
  • Copy, scan, and file forms and documents;
  • Other position related duties as assigned.

MINIMUM REQUIREMENTS

High School Diploma or its equivalent (GED); One (1) year clerical work experience; Must possess valid Texas Driver License and be insurable; Must be able to successfully pass a post-offer drug screen and a criminal history background investigation.

KNOWLEDGE, SKILLS, ABILITIES:

Knowledge of general office procedures, filing systems, and document management; Proficient with Microsoft Office Applications (Word, Excel, Outlook); Ability to meet eligibility and suitability requirements to obtain and maintain access to the BIA Trust Asset Accounting Management System (TAAMS), including successful completion of required background screening; Ability to maintain confidentiality; Excellent customer service, interpersonal, and verbal communication skills; Ability to multi-task and prioritize workload effectively; Must be self-motivated and able to take initiative; Ability to learn and understand Texas Real Estate Commission (TREC) requirements, as related to Realty Officer’s Sales Agent License.

PHYSICAL REQUIREMENTS

The person selected for this position may be required to sit for prolonged periods. Must be able to speak and hear clearly. Employee must be able to use hands to reach and handle. May be required to stand, kneel, crawl, squat or bend. Employee is occasionally required to move or lift up to 25lbs. Vision requirements include close vision and ability to adjust focus.
