Emerald is seeking an exceptional Office Manager to join our team and support facility needs for two east coast offices in New York City. This role will oversee the day-to-day operations at our Broadway headquarters and oversite of our Soiffer Haskin location, ensuring they run smoothly and reflect the high standard of excellence we strive for.
As a key member of the Facilities team, this role is pivotal in creating a welcoming and engaging environment for employees and visitors, elevating the workplace experience. In addition to traditional office facility responsibilities and coordinating catering for C-level and Senior Executives, you will play a key role in building a sense of community while ensuring seamless operations in a fast-paced and dynamic environment.
The best candidate for this position will be an active team player, with a welcoming attitude, professional appearance, and willingness to assist C-Level and Senior Executives, visitors and staff. You should bring a strong work ethic in addition to the ability to multitask and must be very organized. Attention to detail is highly valued.
Culture, Workplace Experience, and Concierge-Level Service
- First point of contact for employees and visitors, providing a warm high-touch concierge-level experience.
- Ensure the office atmosphere is welcoming, inclusive, and reflective of our company culture.
- Planning and hosting events, Happy Hours, offering support for meetings, and special projects, including catering coordination and hospitality.
Proactive Communication and Problem-Solving
- Stay ahead of potential issues by identifying needs before they arise and collaborating with the Facilities to resolve quickly. Responsive communication showing engagement and task follow through.
- Foster open communication with Senior Executives and employees to gather feedback and continuously improve the workplace experience.
Office Management and Facilities
- Oversee day-to-day operations, including breakroom and supply inventory, equipment maintenance and repairs, and vendor management.
- Handle daily incoming and outgoing mail, FedEx shipping, and other logistics needs.
- Manage conference room reservations and logistics for executive meetings including catering needs.
- Assist in the employee onboarding/offboarding process, key card and desk assignments, and manage the seating floor plan.
- Responsible for emergency procedures, fire drill schedule, health and safety orders.
- Monitor and ensure tidiness of common areas, including reception, kitchen, restrooms and conference rooms.
- Manage the onsite storage room and offsite storage unit ensuring they remain organized.
Corporate Operations
- Invoice submission and managing Facility expenses ensuring they align with the budget.
- Concur expense report management for C-level Executives.
Qualifications
- Proven experience in office management, hospitality, or a similar customer-focused role.
- Exceptional organizational skills and attention to detail.
- Strong interpersonal and communication skills, with the ability to engage and be proactive.
- A passion for building community and enhancing the employee experience.
- Proficiency in office software (e.g., Microsoft Office, Google Workspace) and an ability to learn new tools quickly.
- Willing be trained in new systems and not afraid to learn new programs.

COMPENSATION & BENEFITS
Target Compensation: $90,000-93,000
Please note that this range reflects a reasonable estimate of the target compensation for this position. This range may ultimately vary based on a candidate’s qualifications and may be higher where required by applicable law.
