Job Summary
The Administrative Assistant will be responsible for supporting the Network and Legally Exempt Enrollment programs. As a member of the team, the Administrative Assistant will assist to collaboratively collect and organize the provider intake, parent intake, children’s assessments, technical assistance for parents and providers, respond to inquiries, develop, and distribute materials for communication with parents and providers, timely data entry, follow up and other duties assigned to ensure services. Additionally, the Administrative Assistant will support outreach activities for the training programs and focus groups and data entry assignments, generation of reports form our client tracking system, Doc Star and other clerical support duties as assigned.
Responsibilities
- Enter all data in Sofcare and Planstreet including attendance, ASQ, intake information and follow up data as assigned.
- Index files into Doc Star.
- Generate reports for Family Childcare Network Director and other program managers as needed.
- Collaborate and maintain relationships with parents and childcare providers as needed.
- Professionally communicate with childcare providers and parents on program updates, training, events,
- Answer general queries via telephone, email and in person.
- Mail flyers and other outreach mailings, provider checks, and other resources.
- Maintain and update program files, databases, etc.
- Perform other offices duties as necessary.
- Photocopy, answer phone calls, retrieve voicemails, etc.
Qualifications
- Bachelor's Degree preferred.
- Bi-lingual (English & Spanish) required.
- Familiarity with home-based childcare provider population.
- Computer proficiency – Microsoft Office Suite, Internet Research, etc.
- Strong communication skills.
- Excellent, proven organizational ability and outstanding attention to detail.
- Creative problem-solving skills.
- Ability and willingness to interact with a diverse group of people and establish positive and healthy working relationships.
