Anacapa is searching for a hardworking and highly driven individual to join our design-oriented team. We are seeking a Full Charge Bookkeeper to play a vital role in managing the accounting needs of the business. This person will be a core member of the team and will work closely with the Owner / Principal Architect of the firm to drive the financial health of the company.

Bookkeeping

· Maintain financial records for the Firm and Owner

· Manage financial records for the Commercial Property including loan payments

· Generate accurate financial statements

· Reconcile Bank Accounts & Credit Cards

· Ability to complete accounts payable / receivable tasks in a timely manner

· A/R follow up and outreach

· Generate monthly and annual projected budget

· Manage monthly reimbursable expenses and consultant tracking for clients

· Manage monthly Employee reimbursable benefits and issuance of payments

· Generate monthly project invoices and issue to clients

· Maintain Monthly Profitability Reports based on issued invoices

· Administer Payroll on a semi-monthly schedule through an outside payroll processor

· Process semi-monthly 401K contributions through an outside financial institution

· Manage New Employee W-4 & I-9 Forms and integrate into outside payroll processor

· Manage W-9 Forms

· Track Business & Architecture License renewals and payments

· Maintain accurate Group Health Insurance deductions as part of payroll

· Manage Business Insurance compliance and annual Workers Comp audit

· Manage Software License Expenses

· Regular bank deposits

· Manage quarterly and annual tax preparation submission to CPA

· Manage quarterly Sales & Use Tax payments in-house

· Manage End of Year issuance of W-2s and 1099s

Additional Responsibilities

· Office management

· Maintain office upkeep and coordinate with cleaning crew, IT technician, & vendors as needed for office maintenance

· Coordinating office supplies and refreshments

· Legal & business Administration

· Coordination with attorney(s)

· Insurance policies

· Business licenses

· Shareholder items

· Board members, etc.

· Misc. items

· Human Resources

· Leads coordination, recordkeeping, and annual review statistics and documentation items as needed

· State Postings & compliance

· Onboarding and offboarding of employees

· Manage an office assistant when hired

· Prepare conference room for weekly Zoom meetings and client meetings as needed.

Education/Experience Requirements

· Bachelor's Degree

· A minimum of 4 years bookkeeping experience

· Proficient in QuickBooks

· Proficient in Microsoft Office and Google applications

· Experience in generating accurate and balanced financial statements

· Ability to analyze financial reports and identify areas for strategic improvements

· Excellent verbal and written communication skills

· Exceptional attention to detail

· Ability to multi-task in a fast-paced environment

· High level of professionalism and ability to work with confidential information

· Ability to communicate professionally with clients and colleagues

· Ability to prioritize and manage work independently

· Ability to work constructively as a member of a team

SALARY RANGE: $68,000 - $90,000 Depends on Qualifications & Experience
