Summary

We are seeking a highly organized, proactive, and relationship-oriented Executive Assistant to the Chief Executive Officer (CEO) to serve as a trusted partner in supporting the daily priorities and strategic initiatives of the organization. Reporting directly to the CEO, the Executive Assistant serves as the primary point of contact for the Office of the CEO and works closely with school leaders, senior administrators, board members, community partners, donors, elected officials, and families.

Responsibilities

Executive Support

  • Provide comprehensive administrative support to the CEO, ensuring effective management of priorities, projects, deadlines, and strategic initiatives.
  • Maintain a comprehensive understanding of organizational priorities and proactively anticipate the CEO’s needs.
  • Manage and coordinate a complex and dynamic calendar, including scheduling

meetings, events, travel arrangements, and speaking engagements.

  • Prepare agendas, briefing materials, reports, presentations, and correspondence for meetings and events.
  • Ensure the CEO is fully prepared with relevant information, background materials, and logistical support for all engagements.

Communication & Relationship Management

  • Serve as the liaison between the Office of the CEO and school leaders, department heads, staff members, board members, families, community organizations, government agencies, and external partners.
  • Draft, review, and coordinate professional communications on behalf of the CEO.
  • Respond to inquiries with professionalism and discretion, determining appropriate routing and follow-up.
  • Represent the CEO and the organization with a high degree of professionalism and diplomacy.

Project Management & Strategic Initiatives

  • Coordinate and monitor organizational projects, ensuring timely completion of action items and deliverables.
  • Conduct research, gather data, and prepare analyses to support decision-making and strategic planning.
  • Track progress on key initiatives and maintain systems for monitoring priorities and deadlines.
  • Assist in planning and executing special events, board meetings, leadership retreats, community engagements, and organizational celebrations.

Office Administration

  • Manage administrative operations for the Office of the CEO, including document management, records retention, workflow coordination, and correspondence.
  • Monitor departmental budgets, process expenses, and maintain accurate financial records related to executive operations.
  • Develop and improve systems and processes that increase organizational efficiency and effectiveness.
  • Maintain confidentiality of sensitive information, personnel matters, and organizational communications.

Competencies & Qualifications

  • A “whatever it takes” attitude, one that is centered in the notion of “children first.”
  • Bachelor's degree, preferred.
  • High level of discretion, professionalism, integrity, and confidentiality.
  • High degree of organizational skills; detail-oriented with ability to follow through in a fast-paced environment
  • Minimum of three (3) years of experience supporting a senior executive, superintendent, CEO, or other high-level leader in a fast-paced environment.
  • Ability to use tech platforms such as Kickboard, PowerSchool, Google Drive to track data and communicate effectively with the school community
  • A deep belief that every child can succeed, and a willingness to uphold high expectations for students, staff, and oneself to ensure that students are set up for success.
