SCHEDULE: Full-Time | Tuesdays - Saturdays 8:00 am - 5:00 pm | Sundays and Mondays off.

ABOUT THE ROLE

We are seeking an experienced and highly organized Office Manager to support the daily operations of a luxury condominium community.

This role serves as a key partner to the General Manager and leadership team, overseeing administrative operations, resident communications, compliance tracking, and front office functions. The ideal candidate is a polished professional with strong organizational skills, exceptional attention to detail, and a passion for delivering outstanding service in a resident-focused environment.

What You'll Do

  • Oversee the daily operations of the management office, ensuring efficiency, organization, and exceptional service
  • Supervise front office staff and help maintain a professional, welcoming resident experience
  • Prepare resident communications, notices, reports, meeting materials, and official correspondence
  • Support the General Manager with weekly updates, management reports, and administrative projects
  • Maintain contracts, warranties, vendor records, and critical community documentation
  • Coordinate Board, committee, and membership meetings, including agenda preparation and meeting packets
  • Serve as a liaison between residents, management, committees, and vendors
  • Assist with resident inquiries, account updates, online payment support, and community communications
  • Help manage community newsletters, social events, and resident engagement initiatives
  • Track key deadlines, contract renewals, and compliance requirements to support smooth community operations

Requirements

Education & Experience

  • High school diploma required
  • Associate's or Bachelor's degree preferred
  • Previous experience supporting Boards of Directors, committees, or community associations is highly desirable

What You Bring

  • 3–5 years of office management, administrative, or property management experience
  • Experience in condominium, HOA, residential, or hospitality environments preferred
  • Strong leadership and supervisory skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • Strong organizational abilities and exceptional attention to detail
  • Professional demeanor and customer-service mindset suited for a luxury residential environment
  • Basic understanding of accounting, budgeting, and financial reports
  • Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Experience with property management platforms such as BuildingLink or Vantaca is a plus
