Litigation Administrative Assistant

Underberg & Kessler LLP has an immediate opening for an experienced Administrative Assistant who will be responsible for providing legal administrative and clerical support to lawyers in its Litigation Practice Group. We are seeking a detail-oriented and highly organized individual to provide essential support to our team. The ideal candidate will have prior law firm experience. This role requires excellent communication skills, a proactive approach to problem-solving, and the ability to multitask in a fast-paced environment.

Office Location: Rochester, NY

Salary Range: $50,000-$65,000 (based on experience)

Key Responsibilities

  • Perform client intake calls, schedule new client consultations and meetings.
  • Run conflict checks and enter new matters into the billing system.
  • Manage attorney calendars, schedule meetings and handle client communications.
  • Draft Retainer Agreements and Statement of Client’s rights forms.
  • Scans and saves documents to the Firm’s electronic document system.
  • Organize and maintain physical and electronic files.
  • Electronic filing of documents in NYSCEF.
  • Draft correspondence.
  • Assist with drafting pleadings such as Summons, Verified complaint, Answer with Counterclaims, Statement of Net Worth, proposed orders, motions, discovery.
  • Arrange for personal service of pleadings.
  • Manage and organize sensitive client financial documents.
  • Demonstrate initiative in problem solving and ability to manage projects to deadlines.
  • Compassion and patience when working with clients.

What We Are Looking For

  • Minimum 3- 5 years of legal administrative experience in a law office, preferably in a matrimonial and family law practice.
  • Proficiency in MS Office Suite, NYSCEF, Excel, Google docs, document management systems such as NetDocs, and billing software.
  • Exceptional attention to detail and accuracy.
  • Strong organizational and time-management skills with the ability to multitask effectively.
  • Excellent written and verbal communication skills.
  • Ability to work both independently and collaboratively in a team environment.
