Job Summary

The Executive Associate’s job responsibilities include, but are not limited to, providing executive level administrative support to the Provost and Vice President of Instruction and Student Services, serving as a liaison between staff, students, faculty, visitors, and administration, while providing excellent customer service to diverse populations. This position maintains working knowledge of LIT policies and procedures, TSUS rules and regulations, and exercises discretion in confidential matters. This is a non-exempt position.

Duties/Responsibilities

  • Offer exceptional customer service in a student-centered professional environment at all times, in-person, via phone and email
  • Track, monitor and reconcile budgets for the Office of the Provost
  • Keep master calendar for the Office of the Provost, including important Instruction dates, along with the Provost’s professional calendar
  • Safeguard sensitive and confidential information
  • Establish and maintain effective working relationships across campus and with institutional partners
  • Schedule meetings, prepare agendas, notify attendees, take and distribute minutes of meetings
  • Present for Provost’s signature Personnel Action Requests (F3.2s) and hire packets, as needed; prepare F3.2s, when appropriate
  • Assist with the coordination of special projects and events
  • Coordinate the production of flyers, newsletters, brochures, etc. for the Office of the Provost
  • Assist with the updating of the Provost’s section of catalog
  • Assist with the planning and preparation of graduation ceremonies and participate in such on the day of the ceremony
  • Process and maintain forms requiring the Provost’s signature
  • Assist Provost in the reporting, tracking and approval of leave reports
  • Create, track and reconcile requisitions and purchase orders
  • Assist with divisional correspondences, reports, budgets and analysis
  • Assist the Provost with professional travel arrangements
  • Maintain Office of the Provost files and filing system
  • Order office supplies when appropriate
  • Other related duties, as assigned

Minimum/Preferred Qualifications

Minimum Qualifications

  • Five years of experience in progressively responsible administrative support roles
  • Proficiency in computer software including, but not limited to, Microsoft Office Suite and Adobe
  • Skilled in using standard office equipment, such as a computer, scanner, fax, copier, multi-line phone system, etc.
  • Ability to prioritize and manage multiple tasks and meet deadlines
  • Excellent customer service skills with the ability to interact with people and represent LIT in a professional manner
  • Graduation from an accredited high school

Preferred Qualifications

  • Associate degree in business or related field
  • Higher education work experience

Physical Requirements

This position requires the ability to: remain in a stationary position for most of the time; occasionally move about inside an office to access documents, office equipment, etc.; constantly operate a computer or other office equipment, such as a printer or copy machine.
