Position Summary

This position provides complex administrative and secretarial support for the Institute of Government’s faculty and staff working onsite at Fort Benning, Georgia. Roles and responsibilities include assisting the Fort Benning Defense Community Resilience Program staff with on and off installation work associated with the installation and surrounding community project management. This role is responsible for coordinating day-to-day administrative operations, including managing calendars, scheduling meetings, coordinating travel, and supporting general office functions. The position requires the ability to prioritize multiple tasks and manage communications effectively across various platforms. Additional responsibilities include organizing and maintaining documentation, tracking reports, developing agendas, supporting meeting logistics, research, note-taking, and drafting materials such as memos, summaries, and mass distribution emails.

Knowledge, Skills, Abilities And/or Competencies:

  • Strong verbal and written communication skills, with the ability to interact professionally with internal and external stakeholders.
  • Ability to maintain accurate and complex records, with strong attention to detail and organization skills.
  • Demonstrated ability to manage multiple tasks, prioritize effectively, and adapt in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel), Adobe, and QuickBooks.

Duties/Responsibilities

Administrative Operations

Performs general administrative functions, including managing office supplies, coordinating mail and shipments, answering phones, and providing day-to-day operational support.

Percentage Of Time

Program Coordination & Compliance Support

Serves as the point of contact for assigned programs, ensuring effective coordination, participant support, and accurate tracking of program activities. Maintains program records, supports compliance requirements, and coordinates with external partners to support program execution. Assists with tracking financial and program-related data in accordance with established procedures.

Project & Event Support

Supports project and event execution by coordinating logistics, attending meetings, documenting discussions, action items, and assisting with site visits and data collection as needed. Assists in planning and coordinating meetings, training, and events.

Percentage Of Time

Staff & Operational Support

Provides administrative support to faculty and staff, including processing expense reports, coordinating travel and required documentation, maintaining records, and supporting internal processes in accordance with UGA policies and procedures.

Inventory & Equipment Management

Manages inventory and coordinates maintenance of Institute vehicles and equipment at Fort Benning to ensure operational readiness.
