Executive Assistant / Life Manager (Founder Support – Hybrid Personal + Business)

  • Working Hours: 7:00 AM – 5:00 PM (Flexibility + On-Call Availability Required)

  • Compensation: $60,000 – $65,000 USD annually

Role Overview

We are looking for a warm, reliable, and highly organized Personal Assistant & Household Manager to support a busy founder in the day-to-day rhythm of home and family life. This is a hands-on, in-person role built entirely around freeing up the principal’s time by owning all personal errands, household tasks, and family logistics.

This is not an office-based or corporate role. The right person takes genuine pride in keeping a household running smoothly, thinks ahead, and handles everyday tasks with minimal direction.

Key Responsibilities

Family & Children

● Daily school drop-offs and pickups

● Coordination of children’s activities, appointments, and schedules

● Supervision and light childcare support as needed throughout the day

Household Management

● Grocery shopping and household supply management — maintain a well-stocked home at all times

● Meal prep support: pack lunches, prepare breakfast, brew coffee and morning drinks

● Run daily errands (pharmacy, dry cleaning, post office, retail pickups, etc.)

● Coordinate with household vendors and service providers (cleaners, repairmen, deliveries)

● Handle bill payments and household expense tracking

Personal Support

● Manage personal calendar, appointments, and reminders

● Handle ad-hoc personal tasks and requests as they arise throughout the day

● Anticipate needs proactively — restock, reorder, and prepare before being asked

Requirements

● Prior experience as a personal assistant, household manager, nanny/PA hybrid, or family assistant

● Valid driver’s license and clean driving record — daily local driving is required

● Based in Buffalo, NY or willing to relocate (relocation support available)

● Comfortable working Monday through Friday, 7:00 AM – 5:00 PM, with occasional flexibility

● Basic smartphone proficiency (Google Maps, messaging, calendar apps)

Nice to Have

● Light cooking or meal prep experience

● Experience managing household budgets or expense tracking

● Familiarity with scheduling or task management apps

Additional Requirements

  • Must be based in or willing to relocate to Buffalo, NY
  • Valid driver’s license and ability to run local errands daily
  • Comfortable working in a hybrid environment
  • Female candidates preferred due to family-related responsibilities
