About The Role

The Center Coordinator is the operational backbone of a Big Brainbox center. While the Center Director owns enrollment conversion and community relationships, you own everything that keeps the center running — front desk, lead follow-up, facilities, administrative support, and day-to-day operations. You are the first face families see and the person who ensures nothing falls through the cracks.

This role is built with intention: high performers who master center operations are first in line when Center Director openings arise. This is a growth track, not a support job.

What You'll Own

Front Desk & Family Experience

  • Own center hours alongside the Center Director
  • Greet and check in students and families; create a warm, professional first impression
  • Manage student sign-in/sign-out and daily attendance
  • Answer inbound inquiries via phone, email, and walk-in
  • Support enrollment conversations and schedule tours when Center Director is unavailable

Lead Follow-Up & Enrollment Support

  • Respond to all marketing-generated leads within the same business day
  • Execute follow-up sequences via phone, email, and text using CRM and provided scripts
  • Book and confirm enrollment tours for the Center Director
  • Maintain accurate lead status and next-step notes in CRM after every touchpoint
  • Hand off qualified, tour-ready families to the Center Director for closing

Center Operations & Facilities

  • Maintain daily operations checklists and opening/closing procedures
  • Manage supply ordering — classroom materials, office supplies, bathroom consumables, and cleaning products
  • Coordinate vendor relationships for repairs, maintenance, and facility needs
  • Ensure the center is clean, organized, and operationally ready every day
  • Track and escalate facility issues; own resolution timelines

Administrative Support

  • Maintain employee records in ADP
  • Assist with employee onboarding documentation and new hire setup
  • Support employee scheduling and timecard accuracy
  • Maintain compliance documentation as directed by Center Director or corporate

Center Director Support

  • Serve as operational backup to the Center Director
  • Manage center communications when CD is in meetings or off-site
  • Keep CRM and enrollment records current and accurate at all times
  • Handle classroom and student behavioral escalations as first point of contact — assess, de-escalate, and resolve before elevating to the Center Director
  • Serve as the on-floor authority for student conduct, parent concerns, and instructional disruptions during active center hours

QUALIFICATIONS

  • 2+ years in front desk, office administration, center operations, or customer-facing coordination
  • Experience with ADP or similar platform for employee records or scheduling preferred
  • Comfortable managing CRM tools and follow-up workflows
  • Strong written and verbal communication — phone, email, and in person
  • Experience in education, childcare, fitness, or healthcare settings is a plus — not required

COMPENSATION & GROWTH

  • $16–$20/hour based on experience
  • Full-time hours alongside Center Director schedule
  • Clear growth path: Center Coordinator → Center Director for high performers (12–18 month track)
