Medical Records Specialist
CRF Behavioral Healthcare
Hours: 20 hours per week. Work schedule is Monday and Wednesday, 8:30 am to 5:00 pm and Friday, 8:30 am to 12:30 pm OR Tuesday and Wednesday, 8:30 am to 5:00 pm and Friday, 8:30 am to 12:30 pm.
Pay Rate: $25.00 to $25.25 per hour
Education: High School diploma or equivalent required. Associate’s degree (or higher) in health information, Medical Billing, or similar field strongly preferred.
As a Medical Records Specialist, you will
- Maintain, organize and safeguard electronic and paper medical records for CRF program clients.
- Review records for accuracy, completeness, and compliance with legal, ethical and program standards.
- Monitor and ensure compliance with HIPAA and mental health-specific confidentiality laws.
- Process patient admissions, discharges, transfers and treatment documentation.
- Run reports in EHR to assist program in complying with County requirements, such as productivity and documentation standards.
- Support clinicians and case managers with timely access of medical histories, treatment plans and progress notes.
- Prepare a variety of material such as interoffice communications, correspondence, input data and statistics for tracking and reporting, and reports of a routine or special nature.
- Gather and prepare medical records for CRF QI Department as well as external agencies as requested, such as Social Security Administration and Legal Aid.
- File and retrieve documents such as consent forms, progress notes and discharge summaries. Assist in audits, quality reviews, and other quality evaluations.
Additional Qualifications and Skills
- Six (6) months of full-time experience maintaining medical records of clients, patients, residents, or inmates in a mental health program or clinic, a skilled nursing facility, acute care hospital, or a correctional or detentions facility within the last two (2) years
- Basic knowledge of medical terminology used in mental health programs
- Strong understanding and knowledge of HIPAA and confidentiality regulations, especially mental health privacy laws
- Strong organization skills, attention to detail
- Excellent communication and teamwork abilities
- Ability to pass SmartCare required training
- A valid California driver’s license in good standing and eligibility to be an approved CRF driver is required to fulfill the essential functions of this position. In addition, proof of insurance is required prior to driving personal vehicles on company business.
- Proficient computer skills, including Microsoft Office
- Must be able to pass criminal/background clearance

Our Intensive Mobile Psychosocial Assertive Community Treatment programs (Downtown IMPACT, IMPACT, Senior IMPACT and South Bay IMPACT) provide intensive, community-based case management services for homeless adults throughout San Diego County. We deliver fully integrated services to clients diagnosed with a serious mental illness, as well as individuals with co-occurring, mental health, and substance disorders.
Our programs utilizes the evidence-based practice of Assertive Community Treatment (ACT) to support our clients in the higher level of community care and to assist them in reaching their goals and living a life not dominated by mental illness.
