Meeting & Events Coordinator

New York State Dental Association

The New York State Dental Association (NYSDA), a not-for-profit professional association, is seeking a Meeting and Events Coordinator to join our team. This role will serve as the primary support personnel for the Director of Meeting planning including creating and maintaining registration for events, preparing and packing materials for the events, working with and retaining relations with hotels and necessary vendors. The ideal candidate will have strong communication skills, proficiency in Microsoft Office, and an ability to manage workload under tight deadlines. Knowledge of Salesforce is a plus.

Key Responsibilities

· Assist Director in all association meetings, planning & management

· Create and maintain registration for events

· Manage contracts and scheduling with vendors/hotel personnel

· Update directory to ensure current for the Board, councils, delegates, etc…

· Work on other special projects if requested by Director or Executive Director.

Requirements

· Strong time management under tight deadlines

· Strong communication skills between vendors, hotels, and with the Director

· Proficiency in Microsoft Office (PowerPoint, Excel, Word, Outlook)

· Experience with Salesforce is preferred.

· Ability to travel: May be required up to 20%
