Position Overview

BEST NC is seeking a detail-oriented project coordinator to serve as our Engagement Coordinator. Reporting to the President & CEO and partnering closely with the Director of Development & Communications, the Engagement Coordinator owns the behind-the-scenes planning and production of BEST NC’s events and reports — from the Annual Innovation Lab Conference and Advanced Teaching Roles convenings to quarterly member luncheons, board meetings, and the printing and mailing of our Annual Report and Facts & Figures guide.

Most of the work happens at a desk — managing timelines, vendors, registration lists, and prep materials — with periodic event days where the Engagement Coordinator makes complex logistics look effortless. PRIMARY DUTIES AND RESPONSIBILITIES

Annual Innovation Lab Conference (Once per year)

• Manage production logistics: agenda support, planning committee logistics, speaker line-up and prep calls, invitations and RSVPs

• Coordinate food & beverage, gifts, printing, and all day-of logistics

• Manage the content production process in collaboration with the Director of Development & Communications

Advanced Teaching Roles (ATR) and TeachReadyNC (TRNC) Events and Meetings (Approximately 3-5/year)

• Own all ATR and TRNC event logistics end-to-end: agenda, invitations, registration management, day-of support, name tags, collateral, and food & beverage

• Work closely with NC DPI Advanced Teaching Roles Program lead to coordinate invitations, agendas, slide decks, speakers, etc.

Board Meetings and Periodic Member Events (3-4 Board meetings, 4-6 member events per year)

• Coordinate sponsors, invitations, registration management, recruitment packets, food & beverage, and venue for quarterly member luncheons

• Coordinate with CEO and Director of Development & Communications for Board meeting content and planning

• Partner with the Director of Development & Communications on member-facing communications for each event

Report Distribution (3-4 major reports per year)

• Print Coordination including timelines, securing cost estimates, proofs, production, distribution, etc.

• Manage the distribution list, address updates, print coordination, and mailing for print material, including the Annual Report and annual Facts & Figures guide.

Staff Development

• Coordinate staff events including birthdays and holiday gatherings

QUALIFICATIONS

Required

• 3–5 years of experience in event production, program management, or operations

• Track record of running multi-stakeholder events end-to-end, from planning through day-of execution

• Strong project management instincts – comfortable with timelines, dependencies, and vendor management

• Excellent written communication; capable of drafting collateral, invitations, and recap content

• Calm under deadline pressure; flexible and proactive on event days

• Proficiency in Microsoft Office Suite; experience with event management or project management tools

• Experience with Constant Contact or a comparable event platform

• Familiarity with Salesforce or another CRM for distribution list management

• Bachelor's degree or equivalent experience

Preferred

• Experience in a nonprofit or mission-driven organization

• Experience as an educator

LOCATION

BEST NC’s offices are in Cary, NC. We operate on a hybrid work schedule with required in-person attendance 2 days per week, plus key events. The office is open every day for anyone who prefers to work in the office. Limited travel is required to support events, typically day trips within the state and generally not more than one per month on average.

COMPENSATION & BENEFITS

Compensation is commensurate with experience, within a target range of $62,000–$68,000 depending on experience and skills. Benefits include paid vacation leave and holidays, flexible work hours, a SIMPLE IRA contribution, and a contribution toward a flexible benefit of your choice. This is a full time position that reports to the President & CEO. Please note that BEST NC does not currently offer employer-sponsored health insurance; the salary range above is intentionally set above local nonprofit medians for comparable roles to help offset the cost of individually purchased coverage.
