Position Summary

The Surgery Scheduler is responsible for coordinating and scheduling surgical procedures, ensuring all logistical requirements are met to support efficient and timely patient care. This role works closely with physicians, patients, and clinical staff to manage operating room utilization, patient preparation, and administrative documentation.

Minimum Qualifications

  • High school diploma or GED equivalent
  • Minimum of 3 years of office or clerical experience or equivalent

Key Responsibilities

  • Schedule and coordinate surgical procedures, including associated ancillary tests and pre-operative requirements
  • Recommend surgery dates and times to physicians based on procedural needs and operating room availability
  • Ensure accurate scheduling in appropriate surgical areas, considering equipment, facility capabilities, and timelines
  • Prepare and maintain patient-related surgical reports and documentation
  • Utilize scheduling systems (e.g., Cycare, Clinipac, McKesson OR Scheduler or similar programs)
  • Review future schedules to optimize operating room utilization and provide recommendations to physicians
  • Process and manage incoming and outgoing surgical documentation and forms
  • Educate and guide patients regarding surgery logistics, including:
    • Pre-certifications with insurance carriers
    • Financial arrangements
    • Accommodation needs
  • Serve as a resource for patients and staff on surgical scheduling processes
  • Perform other duties as assigned

Physical Requirements

  • Primarily sedentary role with frequent sitting
  • Occasional standing, walking, bending, and reaching
  • Frequent use of hands for typing and computer work
  • Ability to communicate effectively (talking/hearing/seeing)
  • May require lifting or moving items up to 20–50 lbs., occasionally up to 100 lbs.

Under general supervision, exercises independent judgment in the coordination of surgery scheduling and determination of ancillary procedures. Responsible for providing all necessary information and guidance regarding the surgery to the patient. May produce reports that compile various surgery statistics for departmental use.
