Bamboo is a coworking space and event venue designed for entrepreneurs, freelancers, startups, and teams who do their best work in a community driven environment. Our Grand Rapids location at 2 West Fulton sits in the heart of downtown and hosts everything from corporate off sites to community gatherings. We believe great events create connection, and we take that seriously.

As Events Coordinator you are the person who makes events actually happen at Bamboo Grand Rapids. While our Senior Manager of Events and Sales leads client relationships and manages the booking process, you are the one on the ground on event days ensuring every detail is executed well and every guest has a great experience.

This is a hands-on role for someone who is organized, calm under pressure, and takes genuine pride in a well run event. You will work closely with the full Bamboo Grand Rapids team while reporting directly to the Senior Manager of Events and Sales. You will serve as the primary point of contact on event days for clients, vendors, guests, and event staff.

Day of Event Coordination

  • Serve as the primary on site contact during events, managing the flow of the day from doors open to final breakdown.
  • Coordinate and direct event staff during events, ensuring everyone knows their role and the event runs smoothly.
  • Oversee setup and breakdown including furniture, AV, lighting, and any vendor arrivals.
  • Anticipate needs in the moment and handle requests or issues with professionalism and calm.
  • Ensure the space is turned over to spec and ready for the next booking after each event.

Event Logistics and Preparation

  • Work from the event run of show documents and setup checklists to prepare for each event.
  • Coordinate with vendors, caterers, and rental partners on logistics and timing.
  • Communicate relevant event details and updates to the full Bamboo Grand Rapids team ahead of each event so everyone is prepared and aligned.

Front Desk and Guest Experience

  • Staff the front desk during events, welcoming guests, checking people in, and directing them through the space.
  • Provide a warm, professional first impression that reflects the Bamboo brand.
  • Support smooth arrivals and departures, especially for larger events with high guest volume.

Facilities and Inventory Support

  • Support our Community Coordinator in maintaining event supply inventory, communicating proactively when items need restocking or repair.
  • Work closely with our Community Coordinator to keep shared spaces and the venue event ready, flagging any maintenance needs or facility issues as soon as they arise.

Compensation and Perks

  • Full time salary position: $42,000 to $48,000 total compensation, commensurate with experience. Please note this includes a $2,000 annual membership bonus, paid quarterly.

Generous Paid Time Off, including

What We Are Looking For

  • 0 to 3 years of experience in event coordination, hospitality, venue operations, or a related field
  • Exceptional organizational skills and strong attention to detail
  • Comfort working a flexible schedule including some evenings and weekends as events require
  • A calm, solutions oriented approach when things do not go to plan
  • Strong communication skills and a warm, professional presence with clients, guests, and staff
  • Genuine interest in community and in making Grand Rapids a better place to work and gather
