Position Overview
The Administrative Assistant will provide comprehensive support to ensure the efficient operation of the office. This role involves managing various administrative tasks, assisting in project management, and facilitating communication between departments.
Key Responsibilities
- Perform data entry and maintain accurate records
- Assist with scheduling meetings and managing calendars
- Assist with AP/AR and other accounting tasks when needed.
- Prepare and organize documents and reports
- Handle incoming calls and correspondence
- Support team members with administrative tasks as needed
- Ensure a smooth office operation by managing supplies and inventory
- Provide excellent customer service to clients and visitors
Qualifications
- Proven experience as an Administrative Assistant or in a related role
- Strong data entry skills with attention to detail
- Some accounting experience a plus.
- Degree in accounting a HUGE plus.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Excellent time management and organizational skills
- Strong communication skills, both written and verbal
- Ability to multitask and prioritize tasks effectively
- Problem-solving attitude and proactive approach to work
- Customer service experience is a plus
- Some knowledge of construction and/or HVAC terminology a big plus !
