Scheduling Coordinator

POSITION SUMMARY: The scheduling coordinator is responsible for coordinating and maintaining caregiver schedules to ensure all client service hours are staffed appropriately and consistently. This position serves as a primary contact for caregivers and clients regarding scheduling needs, call outs, shift coverage, schedule changes, and service continuity. The Scheduling Coordinator works collaboratively with caregivers, clients, and internal departments to provide exceptional service, while maintaining compliance with company policies and applicable regulations.
- DUTIES AND RESPONSIBILITIES
- Maintain caregiver schedules to ensure client care needs are met.
- Match caregivers to clients based on skills, availability, location, preferences, and care requirements.
- Respond and document promptly to caregiver callouts, tardiness, and schedule changes and client requests.
- Secure and proactively address replacement coverage for open shifts and urgent staffing needs.
- Communicate schedule updates, shift assignments, and staffing changes in a timely manner.
- Maintain positive professional relationships with clients, caregivers, and office staff.
- Address scheduling concerns and escalate service issues when appropriate.
- Provide excellent customer service while balancing client needs and operational requirements.
- Assures the confidentiality of all communication, including written, verbal and computer information. Paying special attention to data, PHI, and plans which you may be privy to in this position.

- High school diploma or equivalent required; associate degree preferred.
- Minimum one (1) year of scheduling, customer service, healthcare, or home care experience preferred.
- Strong organizational and multitasking skills.
- Data entry skills
- Proficiency in Microsoft Office Suite
- Able to work under minimal supervision
- Knowledge of medical terminology
- Ability to prioritize and manage multiple urgent requests simultaneously.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and professionalism.

Hours
As a non-exempt employee, your hours will be Wednesday to Sunday from 1:30PM to 10PM. Hours are subject to change based on scheduling within the department.
