For 25 years, we have provided free equine-assisted mental health programs to youth, adults, veterans, cancer survivors, LGBTQ+ communities, and others throughout Colorado’s Front Range. We are building a future where everyone has the opportunity to heal, belong, and thrive.

Position Summary

The Programs & Volunteer Coordinator is the operational heart of Medicine Horse's day-to-day programming and volunteer experience. This role is responsible for keeping programs running smoothly, from scheduling and registration to partner communications and participant support, while also building and sustaining a strong, engaged volunteer community.

This position works closely with the therapy team, the Executive Director, and the Partnerships & Development Manager to ensure that programs are well coordinated, volunteers are supported, and participants’ experiences reflect Medicine Horse's values and mission.

Program Coordination & Scheduling

  • Meet regularly with the therapy team and interns to coordinate program operations — including confirming who is running each group, which sessions require horse handlers, and any scheduling or participant needs for the month/week ahead
  • Work with the therapy team to schedule groups and maintain therapy calendars — both internally and on the Medicine Horse website
  • Manage the registration process by creating, posting, and overseeing required forms and participant intake
  • Coordinate communication with organizational partners and group participants throughout the program cycle
  • Assist the therapy team in administering group surveys and collecting participant feedback
  • Help ensure full program participation by supporting outreach efforts as directed by the Strategic Partnerships & Development Manager
  • Maintain survey data collection, evaluate raw metrics, and compile comprehensive data summaries to drive strategic decision-making, grant narratives, grant reports, and annual reports

Volunteer Recruitment & Relationship Building

  • Actively recruit new volunteers through community outreach, partnerships, and collaboration with the broader team
  • Build genuine, lasting relationships with volunteers that reflect Medicine Horse's culture of care and appreciation
  • Develop and implement creative ways to keep volunteers engaged, recognized, and fulfilled in their roles
  • Serve as the primary point of contact for volunteer questions, needs, and ongoing communication
  • Ensure volunteers are familiar with and adhere to Medicine Horse property guidelines, safety procedures, nondiscrimination policies, and organizational culture and values; assist with updating volunteer policies, procedures, and training materials as needed.

Volunteer Scheduling & Operations

  • Maintain volunteer sign-ups, scheduling, and the volunteer database and sign-up platform
  • Supervise and support volunteers during programs and events, ensuring they feel prepared and confident
  • Ensure volunteers have sufficient training, resources, and role clarity before engaging with participants or horses
  • Identify and address volunteer needs proactively, escalating any concerns to the Executive Director as needed

Volunteer Events & Appreciation

  • Help plan and coordinate volunteer appreciation events and recognition initiatives
  • Collaborate with the team to build stronger volunteer engagement and long-term involvement
  • Track volunteer hours, milestones, and contributions for reporting and recognition purposes

Cross-Team Collaboration

  • Communicate regularly with the therapy team to stay current on program changes, participant needs, and key outcomes
  • Share program stories, participant experiences, and outcome data with the Strategic Partnerships & Development Manager to support grant reporting, fundraising, and communications
  • Participate in team meetings and contribute to organizational planning as a key operational voice

Event & Community Engagement Support

  • Support planning, coordination, and execution of Medicine Horse events in collaboration with the Executive Director and team, including the Annual Gala, fundraising events, community outreach events, volunteer gatherings, and participant-centered activities.
  • Assist with logistics, volunteer coordination, event setup, participant communication, and overall event support to help create welcoming, organized, and mission-aligned experiences.
  • Support community-building initiatives and clubs such as garden club, book club, wellness gatherings, and other community engagement programs that foster connection and belonging.
  • Collaborate with staff, volunteers, and community partners to help ensure events reflect Medicine Horse’s culture, values, safety standards, and participant-centered approach.
  • Help maintain a positive and inclusive environment for program participants, volunteers, donors, and community members during events and outreach activities.
