Administrative Assistant

Responsibilities

  • Manage payroll, calendars, schedules, and meetings for managers
  • Prepare reports, memos, and internal communications
  • Handle phone calls, emails, and correspondence
  • Maintain maintenance logs, shipping documents, and inventory records
  • Organize and file safety reports, compliance documents, and inspection records
  • Ensure accurate data entry into designated inventory systems
  • Assist with scheduling deliveries and shipments
  • Coordinate with warehouse, production, and logistics
  • Track orders, invoices, and purchase orders
  • Maintain OSHA and safety training records
  • Assist with audits, inspections, and compliance documentation
  • Support incident reporting and documentation
  • Communicate with suppliers and vendors
  • Process purchase orders and track deliveries
  • Maintain vendor records and contracts
  • Performs other related duties as assigned

Requirements

  • At least 2 years of administrative experience is required (industrial/manufacturing environment preferred)
  • Strong organizational and multitasking abilities
  • Attention to detail and accuracy
  • Effective communication skills
  • Ability to work in a fast-paced, industrial environment
  • Basic understanding of supply chain or manufacturing processes
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Familiarity with inventory control and logistics processes
  • Knowledge of safety regulations (OSHA standards)
  • Experience with ERP systems (e.g., SAP) is a plus

Work Environment

  • Combination of office, warehouse, and maintenance shop exposure
  • May require use of personal protective equipment (PPE) when entering designated areas
  • Interaction with staff, maintenance, and management

Physical Demands

  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift up to 15 lbs.
