As an Administrative Assistant, you’ll play a key role in supporting our Office Manager and keeping our corporate manufacturing facility organized. From bookkeeping and accounts payable to greeting guests and managing office supplies, you’ll handle a variety of tasks that keep our business operations moving efficiently.

What You’ll Be Doing

  • Be the first point of contact – greet guests, answer calls, and provide excellent customer service.
  • Support accounts payable & receivable – process invoices, payments, and reconcile transactions.
  • Manage office operations – order supplies, maintain inventory, and keep everything organized.
  • Assist with vendor relations – respond to invoice inquiries and reconcile disputes.
  • Oversee credit card transactions – verify receipts, compile missing documentation, and ensure accuracy.
  • Prepare and deposit received checks – ensure timely and accurate processing.
  • Help with month-end reconciliations – assist the Office Manager in financial reporting.
  • Maintain the employee café – handle ordering, inventory, and the announcement screen.
  • Ensure compliance – maintain confidentiality and follow company policies.
  • Handle multiple priorities – work in a fast-paced setting with changing deadlines.
  • Other duties as assigned by management

Requirements

  • Experience with A/P & A/R – accounting or bookkeeping experience is a plus!

  • Tech-savvy – proficient with business software and data entry.
  • Positive attitude & willingness to learn – adaptable and eager to grow.
  • Ability to work independently and as part of a team – a self-starter with a collaborative mindset.
  • Associate Degree or relevant experience – education or experience in administration, finance, or bookkeeping preferred.
