About the Role

We are looking for a motivated Administrative Support with an interest in medical device or medical operations to help anchor our internal operations. This is not a generic admin role — you will be a key contributor who keeps our day-to-day organized, supports physician partners when issues arise, and grows into a vital part of our team. Responsibilities

  • Manage day-to-day internal operations including scheduling, communications, and document management
  • Document common issues and resolutions to build out internal support resources and a shared knowledge base
  • Serve as a primary point of contact for physician offices and provider partners — guiding them through troubleshooting steps, answering procedural questions, and resolving issues with professionalism and patience
  • Maintain accurate financial records, process invoices, and support billing workflows
  • Comfortable working in a CRM system (entering data, managing contacts, running reports)
  • Proficiency in Microsoft Office Suite: Word, Excel, Outlook, and PowerPoint
  • Coordinate with vendors, physician partners, and internal team members with professionalism and speed
  • Prepare reports, memos, and correspondence; maintain organized digital and physical filing systems
  • Handle confidential patient and business information with discretion and in compliance with HIPAA standards
  • Highly organized with strong follow-through; you don’t let things fall through the cracks
  • Self-directed and dependable — you manage your workload without constant oversight
  • Manage office supply inventory and place orders as needed
  • Support leadership with administrative tasks and step in wherever the team needs you

Qualifications

  • 2+ years of administrative or operations experience in a healthcare, medical, or clinical setting — this is strongly preferred, not optional
  • Hands-on experience with QuickBooks for invoicing, expense tracking, or financial recordkeeping
  • Comfortable working in a CRM system (entering data, managing contacts, running reports)
  • Proficiency in Microsoft Office Suite: Word, Excel, Outlook, and PowerPoint
  • Exceptional written and verbal communication — you represent us professionally in every interaction
  • Highly organized with strong follow-through; you don't let things fall through the cracks
  • Self-directed and dependable — you manage your workload without constant oversight
  • High school diploma required; Associate or bachelor's degree preferred

Preferred but not required

  • Experience supporting a small or growing healthcare / Medical Device Manufacturing company
  • Experience in a helpdesk, patient services, or provider support role
  • Experience with QuickBooks and CRM systems
  • Familiarity with EHR/EMR systems or medical billing workflows
