About the Waterloo Schools Foundation - The Waterloo Schools Foundation is an independent, 501c3 nonprofit organization that exists to fund, inspire, and promote academic opportunities for all in the Waterloo Community School District. Through grants, partnerships, and innovative projects, the Foundation works to ensure every student in the Waterloo Schools has the opportunity to succeed, and that every staff member has the resources to enhance learning across all 19 school buildings.
Position Summary - The Operations Coordinator serves as the organizational hub of the Waterloo Schools Foundation, overseeing administrative systems, donor and grant administration, financial coordination, and operational support. This position works closely with Foundation staff, donors, sponsors, district personnel, and community partners to ensure the Foundation's programs and operations run efficiently.
This position is ideal for someone who enjoys organizing systems, supporting meaningful work, building relationships, and making a direct impact on local students and educators. The Operations Coordinator plays an important role in ensuring Foundation programs, donor relationships, and community partnerships are successful. This position requires a high level of organization, professionalism, confidentiality, and attention to detail.
Job Duties & Responsibilities
Donor & Sponsorship Administration
- Manage donor records, gift processing, acknowledgements, and sponsorship tracking through WSF’s donor database
- Support donor stewardship and communication efforts
Grants & Program Coordination
- Coordinate Foundation grants and application processes from start of application through grant reporting
- Communicate with student, staff, and program applicants and assist with award and reporting requirements
Finance & Administration Support
- Coordinate invoices, payment requests, and documentation for Foundation funded projects, vendors, sponsors, and other organizational expenses
- Maintain accurate organizational records and administrative systems
Office & Organizational Operations
- Support day-to-day operations of the Foundation office, including scheduling, mailings, record management, and office systems
- Provide administrative support for board meetings, committees, and Foundation events
Flexible weekday schedule averaging 15-20 hours per week and hybrid options available. Wage range is $22-$25 an hour, commensurate with experience. Some occasional early morning, evening, or event-related hours may be required.
Qualifications
The ideal candidate will be highly organized, detail-oriented, and comfortable managing multiple projects and responsibilities in a small office environment.
Preferred qualifications include:
- Previous experience in administrative support, office management, nonprofit operations, customer service, education, or a related filed
- Strong written and verbal communication skills
- Ability to work independently, prioritize tasks, and manage deadlines
- Proficiency with Google Workspace
- Ability to maintain professionalism, confidentiality, and positive relationships with donors, sponsors, volunteers, students, staff, and community partners
A college degree is not required. Relevant professional experience and demonstrated organizational and communication skills will be considered equally valuable.
