POSITION OVERVIEW
Vertex Education, Business Management Office for Legacy Traditional Schools is seeking a Chief of Staff to support the Chief Executive Officer and Executive Leadership Team by collaborating on the long-term strategic efforts and day-to-day administration of Vertex Education. The COS will plan and direct all administrative and operational activities as assigned and assist in managing related business initiatives, while providing strategic support on affecting operational growth.
Major Responsibilities
Assists in creating, communicating, implementing and sustaining strategic initiatives. Provides strategic and tactical support and serves as a key advisor to, and representative of, the CEO and SLC related to new business, critical business relationship management, and growth strategies.
Organizes and prioritizes critical issues and required information to facilitate efficient decision-making. Conducts debriefing on critical items as necessary.
Assists in the negotiation and drafting of key business agreements with entities external to Vertex, including management agreements, memoranda of understanding (MOU’s), joint development agreements, and business plans.
Leads relations with all boards of directors supported by Vertex.
Represents Vertex as the primary point of contact on key issues, coordinating with EA support as needed.
Leads pre-board meeting preparatory calls with individual board members.
Facilitates communication between boards, state charter authorities, Legacy campuses, and Vertex departments.
Vets new board members; ensures proper training.
Follows up on board member requests; scrubs all agenda items and presentations prior to board presentation.
Works with EA support and outside legal to ensure compliance with OML Vertex responses & solutions are solid.
Documents specific instances of both boards working closely with Legacy and maintaining healthy relationship/distance with Vertex.
Attends all board meetings; works with Academic EA to create related confidential, time-sensitive documents and presentations (e.g. meeting summaries, agendas, reports, action items, etc.)
Assists in leading relations and communication between Vertex, Legacy, and state authorities (e.g., Nevada State Charter School Authority, Texas Education Authority) in terms of new and current charters.
Partners with the Director of Academic Special Projects and the Communications Department to manage the writing and application of out-of-state new charter applications.
Assists in business development, partnerships, acquisitions, and procurement.
Chairs the new Vendor Contract Review Committee(?)
Manages the creation, execution, updating, and management of the various management agreements between Vertex and Legacy Traditional Schools.
Works closely with the Project Management team to coordinate projects, initiatives, fiscal management and liaising between the SLC and stakeholders within and outside the organization.
Attends meetings and acts as voice (where appropriate) CEO and founders. Summarizes information, findings, and recommendations.
Supports the SLC and Finance teams to ensure all critical components of bond underwriting processes are met.
Ensures that the strategic priorities of the SLC are clearly communicated and executed upon; collaborates with their direct reports and all team members across the organization to ensure that these priorities and related deliverables are executed in a timely way.
Addresses complex, confidential situations and the needs of stakeholders. Balances the needs of long-term projects with the urgency of immediate demands.
Develops and maintains exceptional working relationships with internal teams and external stakeholders; maintains key relationships with other senior management teams; advances internal and external relationships through effective, direct communication and timely follow-up.
Provides organizational support to ensure action items, deadlines, and deliverables are completed
Provides information and advice regarding key strategic issues. Conducts related research, analyzes and interprets information, identifies issues and prepares and collaborates on solution-based proposals and recommendations. Ensures that accurate information is provided for decision-making. Develops presentations from concept to completion relying on subject matter experts within the company
Keeps the organization well informed of upcoming commitments, responsibilities and issues that could impact the successful execution of the SCL’s commitments, follows-up as appropriate
Plans and prepares internal and external communications and correspondence in collaboration with the communications and marketing teams
Manages executive support staff, partners with the Executive Assistants to organize and execute meetings, conference calls, business travel, conferences and events
KNOWLEDGE, SKILLS, & ABILITIES
Proven experience supporting executive level management and driving interdepartmental collaboration
Excellent professionalism, sense of confidentiality and diplomacy; ability to interface with clients, executives and employees at all levels
Proven ability to exercise good judgment on a consistent basis with the demonstrated ability to anticipate needs and take initiative to get things done
Excellent communication skills with the ability to understand the audience and lead discussions. Must be able to articulate and explain complex issues to various individuals in different functioning roles, from junior staff to senior management. Proven ability to develop relationships with all employees for increased efficiency and effective responsiveness
Strong organizational skills and the ability to perform and prioritize multiple tasks with excellent attention to detail
Self-motivated with the ability to positively influence and motivate others, and use interactions to teach
Ability to effectively work cross-functionally with internal and external audiences
Strong problem-solving skills and demonstrated ability to take initiative and critically analyze processes and procedures in a push toward constant improvement
Team player with the capability to take on additional tasks as necessary and adjust to changing priorities
Ability to roll up sleeves and perform the responsibilities needed to ensure success
Proficient in Microsoft Word, Excel, Outlook and PowerPoint
Education, Certifications, and Experience
Bachelor’s degree in business or related field required; Master’s degree is preferred
10+ years of related experience with a successful track record of leadership and performance within growing organization, education related experience is preferred
Charter experience is preferred
BACKGROUND CHECKS
The incumbent in this position will be required to pass a criminal history background check
Must be able to obtain and hold a valid IVP Level One Fingerprint Clearance Card at all times
PHYSICAL AND TRAVEL REQUIREMENTS / WORK ENVIRONMENT
Travel between campuses is required from time to time.
This position requires the need to lift objects (up to 25 pounds) on occasion.
This position may require sitting for long periods at times, talking on the phone, standing, kneeling, stooping and long periods of concentration.
Local and in-state travel required.
