Commercial Lighting Sales Assistant / Project Coordinator

Position Overview

A well-established commercial lighting company is seeking a detail-oriented Commercial Lighting Sales Assistant / Project Coordinator to support the successful execution of commercial lighting projects from initial quote through final delivery. This role serves as a key liaison between customers, contractors, manufacturers, manufacturer representatives, and internal teams to ensure projects remain organized, on schedule, and accurately documented.

The ideal candidate is highly organized, proactive, and interested in learning the commercial lighting industry. This position is best suited for someone who enjoys managing multiple projects, coordinating details, following up on outstanding items, and providing exceptional customer support throughout the project lifecycle.

Key Responsibilities

  • Assist with the coordination and management of commercial lighting projects.
  • Review project documentation, specifications, and lighting schedules.
  • Perform takeoffs using Bluebeam and project drawings when applicable.
  • Create and organize lighting submittal packages for customer review and approval.
  • Review approved submittals and coordinate fixture ordering with manufacturers.
  • Track and monitor project orders from placement through delivery.
  • Communicate regularly with contractors, customers, manufacturers, and manufacturer representatives regarding project status and timelines.
  • Provide proactive updates regarding order status, lead times, backorders, and shipment schedules.
  • Coordinate product deliveries to project sites based on customer requirements.
  • Maintain accurate project documentation, records, and correspondence.
  • Create closeout packages and owner manuals upon project completion.
  • Support the commercial sales team with project administration, order management, and customer communication.
  • Manage multiple active projects simultaneously while maintaining attention to detail and accuracy.

Qualifications

  • High School Diploma or GED required; Associate's or Bachelor's degree preferred.
  • Previous experience in project coordination, project administration, sales support, order management, customer service, construction administration, or commercial operations preferred.
  • Experience working with contractors, builders, construction teams, manufacturers, or supply houses is highly desirable.
  • Experience reading construction drawings, electrical plans, lighting schedules, or blueprints is a plus.
  • Bluebeam experience is preferred but not required.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office, including Outlook, Excel, and Word.
  • Ability to prioritize tasks and manage multiple deadlines in a fast-paced environment.
  • Strong attention to detail and follow-through.
