At Adkin CPA, we believe small business owners deserve clear financials and no surprises at tax time. We’re a growing firm built around that promise and we’re looking for a Client Operations Specialist who wants to be the person that makes it all run smoothly.
This isn’t a background role. You’ll be the connective tissue between our clients and our team. The first voice they hear, the person keeping things moving, and a key reason our clients feel genuinely taken care of.
The Role
You’ll own the day-to-day operations that keep our firm running: client communication, calendar and task coordination in Canopy, bank statement and document collection, payroll administration, and tax season support. During tax and planning seasons (roughly January–April and September–October), the pace picks up significantly and you’ll thrive in it. A typical week might include:
- Managing our client inbox and making sure nothing falls through the cracks
- Coordinating schedules and keeping the team’s calendar running on time
- Creating and tracking Canopy tasks so client work never stalls
- Following up on bank statements and QBO bank feeds
- Supporting payroll uploads and monthly tax confirmations
- During tax season: collecting organizers, chasing missing docs, and keeping 50+ clients moving through the pipeline
Who You Are
You’re organized, proactive, and genuinely enjoy keeping things running well. You communicate clearly, follow through without being asked twice, and stay calm when the to-do list gets long. You probably recognize yourself in a few of these:
- 3–5 years in office management, client services, or operations — accounting or professional services background a big plus
- You’ve worked in (or are excited to learn) QuickBooks Online — QBO Pro Advisor Certification required within 30 days
- Canopy Tax experience is a strong advantage; you’ll need to be fully up to speed within 60 days
- You manage your inbox like a pro and are comfortable juggling multiple conversations at once
- Detail-oriented enough to catch what others miss, but efficient enough to keep things moving
- You’re a team player who also knows how to take ownership and run with things independently

Compensation & Benefits
- $18 to $20 dollars per hour
- 30 to 40 hours per week
