Fourscore Business Law
Fourscore Business Law is seeking a part-time Executive Assistant to support the firm's founder and leadership team. The ideal candidate has 5+ years of experience supporting C-suite executives, founders, or other senior leaders and thrives on details, takes ownership, anticipates needs, and takes pride in seeing projects through to completion.
This role is much more than calendar management. The Executive Assistant will help keep the firm's founder organized, prepared, and focused by managing priorities, coordinating logistics, handling follow-up, and ensuring important details never fall through the cracks. Success in this role requires exceptional organization, resourcefulness, initiative, and a willingness to jump in wherever needed to support the continued growth and success of the firm.
The role is part-time up to 25 hours per week (4-5 hrs. M-F), primarily in-office Tuesday through Thursday, with flexibility to work remotely on Monday and Friday. There is potential for this role to grow into a full-time position over time.
Key Responsibilities
- Manage and maintain the founder's calendar, including scheduling meetings, protecting focus time, coordinating logistics, and handling last-minute changes.
- Coordinate meeting logistics, send confirmations, and help the founder arrive prepared and informed.
- Prepare and provide the founder's daily schedule, including meeting locations, attendees, and relevant background information when appropriate.
- Assist with communications on the founder's behalf, including returning calls and coordinating follow-up with clients, referral sources, and other contacts.
- Monitor and manage the founder's inbox, helping prioritize communications, identify urgent matters, and maintain organization as trust and familiarity with the role are established.
- Coordinate team events, networking events, meetings, lunches, celebrations, and other firm gatherings, including all related logistics.
- Maintain Fourscore's celebration rhythm, including birthdays, work anniversaries, and the Fourscore birthday.
- Coordinate travel arrangements for attorneys as needed, including hotel accommodations and related logistics.
- Handle incoming and outgoing mail, certified mail, packages, and related correspondence.
- Prepare thank-you cards and other relationship-building communications.
- Conduct research and assist with special projects as needed, including vendor research, CLE programs, and other administrative initiatives.
- Take ownership of ad hoc projects, special assignments, and miscellaneous tasks that support the founder and leadership team and help keep key priorities moving forward.
Required Skills & Attributes
- Excellent written and verbal communication skills and the ability to effectively switch between multiple tasks every day
- Self-starter with a strong sense of ownership who takes initiative, anticipates needs, solves problems proactively, and follows through with minimal supervision
- Exceptional organization, attention to detail, and follow-through
- Reliable, responsible, and accountable - someone the team can count on
- Proactive and curious, willing to ask questions to ensure accuracy and quality work
- Able to work independently while also collaborating effectively with the team
- Skilled at prioritizing tasks and meeting critical deadlines
- Comfortable using AI-assisted tools (e.g., ChatGPT, Microsoft Copilot, Claude, Gemini) appropriately, with strong discretion and attention to confidentiality
- Microsoft Word (able to troubleshoot and fix formatting issues)
- Excel (able to build and maintain formulas)
- PowerPoint (able to create slides for meetings and events)
