This role is critical in ensuring the financial health and operational efficiency of the organization while supporting leadership with accurate, timely, and actionable financial information.

Position Summary

The Controller / Human Resources position is responsible for overseeing all accounting, financial reporting, budgeting, payroll, and human resources functions for the organization. This role manages the full cycle of accounting operations, ensures compliance with regulatory requirements, and provides strategic financial insight to support organizational goals.

Key Responsibilities

Accounting Operations

· Oversee all day-to-day accounting functions, including general ledger, accounts payable, and accounts receivable

· Maintain accurate financial records in QuickBooks Online (QBO)

· Post and reconcile daily cash transactions (bank activity, ACH, Stripe, Shopify, Faire, etc.)

· Prepare and record journal entries, accruals, and deferrals

· Reconcile all bank and balance sheet accounts monthly

· Maintain accurate tracking of capital campaign activity and restricted funds

· Develop and maintain accounting policies and procedures

Accounts Receivable & Revenue Management

· Manage monthly billing processes, including preparation and distribution of invoices

· Manage collections, including late notices and follow-ups

· Record and track grants, pledges, and contributions

· Reconcile cash receipts from retail, pop-ups, and e-commerce channels

· Provide reporting and insights from platforms such as Shopify

Accounts Payable & Expense Management

· Manage vendor setup, invoice processing, and payment disbursements

· Oversee corporate card program (RAMP), including transaction review and controls

· Ensure proper coding and timely posting of expenses

Payroll & Employee Compensation

· Administer full-cycle payroll using QuickBooks Online, including time tracking, approvals, and processing

· Maintain employee records, compensation changes, and deductions and contributions

· Ensure compliance with payroll tax filings and reporting

Financial Reporting & Close Process

· Lead monthly close process, including reconciliations and financial statement preparation

· Prepare internal financial reports and board reporting packages

· Perform account analysis and variance review

· File required tax reports, including sales and use tax

Budgeting & Financial Planning

· Lead the annual budgeting process and ongoing financial forecasting

· Partner with leadership to provide financial insights and recommendations

Inventory & Operational Systems

· Develop and maintain inventory and production systems

· Manage inventory for company-owned equipment and hardware

· Improve cost tracking and operational efficiency across product lines

Grant & Compliance Management

· Reconcile grant activity and ensure proper use of funds

· Prepare documentation for required grant reports

Human Resources & Administration

· Manage HR processes including recruiting, employee onboarding, and employee offboarding

· Maintain and update employee handbook, policies, and procedures

· Manage benefits administration, including health insurance and ACA compliance

· Manage 401(k) plan

· Coordinate employee communications and policy updates

· Maintain employee records and HR systems

Insurance & Risk Management

· Manage all business insurance policies and renewals

· Coordinate workers’ compensation claims and audits

· Ensure adequate and cost-effective coverage across the organization

Qualifications

· Bachelor’s degree in Accounting, Finance, or related field (CPA preferred)

· 5+ years of progressive accounting experience, including full-cycle accounting

· Experience with QuickBooks Online and financial systems

· Strong knowledge of payroll, tax compliance, and financial reporting

· Experience in nonprofit accounting and grant tracking preferred

· Familiarity with e-commerce platforms (e.g., Shopify) a plus

· Experience with process improvement and system implementation

Work Structure & Salary Range

· Part-time position - 30 hours per week with a hybrid schedule, including regular in-office presence 3 days per week for operational and team support activities.

· Salary Range $43 - $45 per hour
