Administration Assistant - Executive Support

Reports to: Executive Director
General Responsibilities: Responsible for administrative support and office management.
Duties Will Include, But Are Not Limited To
- Confirming birthday parties and field trips. Process deposits/payments.
- Prepare information for staff during the week and weekend for field trips and/or birthday parties.
- Processing incoming donation requests for area organizations.
- Ordering office supplies and museum-wide supplies as needed.
- Organize monthly recognition of staff birthdays and anniversaries.
- Recruit, organize, and coordinate volunteers.
- Coordinate with the Executive Director, Board meeting information, reminders, annual dues, contracts, disclosures, and lunch orders.
- Assist guests with questions or problems about membership.
- Assist with end-of-month activity, including, but not limited to, reconciling and coding credit card statements, completing daily sheet reporting, and processing and depositing all special deposits.
- Serve as back-up for onboarding for Field Trips.
- General errands for museum operations.
- Assisting at the Welcome Desk and assisting on the museum floor as needed.
- Other duties as assigned.
Required Skills
- Minimum two years’ administration experience.
- Excellent written and verbal communication skills.
- Ability to manage a variety of incoming and outgoing tasks.
- Self-motivated and responsible with the ability to prioritize and work independently.
- Strong computer skills, including calendar and database management.
- Ability to use a cash register or point of sale system.
- Experience working with the public, including families and young children
Essential Physical Functions: On any given day, may be frequently required to do one or more of the following: climbing, stooping, kneeling, crouching, crawling, reaching, lifting up to 25 pounds, and moving short distances.
Work hours: Monday 9:00 a.m.- 3:00 p.m., Tuesday-Friday 8:30 a.m.- 4:30 p.m.
Compensation: $32,000-$38,000 with benefits
