Event Production Coordinator

The Event Production Coordinator is a hands-on production role for someone building a career in experiential and event production. You will work alongside our Producers and Executive Producers on the day-to-day production of large-scale activations, brand experiences, and live events — supporting pre-production planning, vendor coordination, on-site execution, and project wrap.
This is a field-facing role. You will be on-site at our events, traveling with the team, and learning the craft of producing experiential work at scale. Over time, this position is the launchpad to running productions yourself — growing into a Producer role with the team’s full support as you build the skills, relationships, and track record to take ownership of projects.
You will report to the Director of Production and work closely with Producers, Executive Producers, and our broader creative team.
Pre-Production
- Support Producers and Executive Producers on scoping, scheduling, and resource planning for active projects.
- Build and maintain production schedules, run-of-shows, and call sheets.
- Coordinate vendor briefings, site visits, and pre-production logistics.
- Track production deliverables and flag risks to leadership early.
On-Site Production
- Provide on-site support during load-in, show days, and load-out.
- Manage crew, vendor, and talent logistics on event days.
- Troubleshoot real-time issues alongside Producers and Executive Producers.
- Serve as a reliable point of contact for vendors, venues, and internal teams during live production.
Vendor & Talent Coordination
- Manage day-to-day vendor and talent communications during active production.
- Issue purchase orders and track deliverables against vendor scopes.
- Build strong working relationships with our vendor and freelance crew network.
Production Logistics
- Manage shipping, travel, accommodations, and credentialing for crew and talent.
- Source production supplies and coordinate inventory and asset tracking.
- Support permitting, venue compliance, and site logistics as needed.
Wrap & Project Closeout
- Support project wrap including final reconciliations, vendor closeouts, and asset returns.
- Document learnings and contribute to internal post-mortems and process improvements.
Requirements
Qualifications:
- 2–4 years of experience in event production or experiential marketing — at an agency, production company, or in-house brand team. Direct experience producing live events, brand activations, or experiential campaigns is required. Film and television production experience alone does not qualify for this role.
- A clear interest in building a long-term career as an experiential or event producer.
- Hands-on and field-ready. Comfortable with evenings, weekends, and travel as production schedules require.
- Strong organizational and communication skills with the ability to manage multiple workstreams at once.
- Effective working across vendors, talent, crew, and client teams.
- Calm under pressure and a sharp problem-solver in live production environments.
- Based in Los Angeles and able to travel for productions.
Nice to Have:
- Existing relationships within the Los Angeles experiential vendor and crew community.
- Familiarity with permitting and venue compliance in Los Angeles and other major event markets.
- Prior exposure to entertainment, music, sports, or consumer brand clients.
