The Assistant Project Manager sits at the execution core of our business, embedded directly in an active project portfolio and responsible for keeping complex, multi-phase commercial flooring projects moving accurately and on time.

THE ROLE
The Assistant Project Manager provides critical, end-to-end support across an assigned PM portfolio — from pre-construction coordination and submittal management through field documentation, financial tracking, and project closeout. You will work directly alongside a Project Manager, Senior PM, or Project Executive, learning the full commercial construction lifecycle while owning key operational responsibilities from day one.
You report to a Project Manager, Senior Project Manager, or Project Executive — with real visibility to senior leadership and meaningful opportunities to expand your scope as you demonstrate your capabilities. The best performers in this seat have a clear, supported path into independent Project Management.
WHAT YOU'LL OWN
Submittal Package Management
- Ownership — Take the lead on assembling, coordinating, and tracking comprehensive submittal packages — physical and digital — through customer review and approval cycles.
- Status Tracking — Maintain real-time visibility on all submittals in progress; nothing falls through the cracks.
- Document Control — Manage organized electronic project files in PDF's proprietary operating system — current, complete, and audit-ready at all times.
Project & Schedule Coordination
- Schedule Tracking — Monitor project timelines against established milestones and flag deviations early, before they become problems.
- Material Logistics — Track material lead times, coordinate delivery schedules, and escalate supply chain risks to the PM.
- Communication Hub — Serve as a key internal and external coordination point between the PM, General Contractors, clients, field crews, and internal departments (Estimating, Purchasing, Billing).
Financial Tracking Support
- Budget Monitoring — Assist the PM in tracking project costs against proposed budgets — identifying variances and supporting course corrections in real time.
- Change Order Support — Document potential site conditions and scope changes during field visits; assist with change order identification and tracking.
Field Support & Documentation
- Site Visits — Accompany the PM on job site visits to observe installation progress, confirm site conditions, and document issues with precision.
- Issue Documentation — Capture and log field findings accurately; turn observations into actionable information for the PM team.
Labor Coordination Assistance
- Crew Communication — Support the PM in communicating with subcontracted installation crews to optimize scheduling and workforce allocation across concurrent projects.
Business Development Support
- Relationship Support — Assist in maintaining existing client and supplier relationships; help identify and develop new opportunities within the PM's portfolio.
Project Closeout
- Closeout Execution — Drive closeout activities end-to-end — punch list management, final documentation coordination, warranty and maintenance file assembly, and timely financial closeout.

- Must have a valid driver's license and reliable vehicle (site visits within approx. 30 miles)
MINIMUM REQUIREMENTS
- Bachelor's degree in Construction Management or a related field — OR — a minimum of 3 years of administrative or project coordination experience in commercial construction
- Foundational ability to read construction plans, blueprints, details, and specifications
- Demonstrated ability to manage multiple high-priority tasks in a deadline-driven environment
- Proficiency in SalesForce, Google office; comfort with construction management or project tracking software
- Must be available full-time, in-office (team collaboration is very important for our growing culture)
- Ability to occasionally lift up to 50 lbs

COMPENSATION & BENEFITS
Starting compensation is $80,000, with the potential to scale to $90,000+ following the first year, contingent upon prior experience and demonstrated performance. We also offer eligible employees the opportunity for a discretionary performance bonus. For high-performing Assistant Project Managers who may not yet meet the tenure requirements for the standard calculated performance bonus, we consider discretionary bonus awards to recognize exceptional contributions.
