Job summary: The Executive Assistant is responsible for providing daily support to the CEO and other members of the executive team. The Executive Assistant is responsible for handling a wide variety of executive administrative tasks from conception to completion in a timely manner with accuracy while maintaining a high level of confidentiality and professionalism at all times.

Key job responsibilities

• Fully understand the roles and responsibilities of each executive team member, including the Chief Operating Officer, Chief Strategy Officer and Chief Technology Officer.

• Plans and coordinates calendars for the executive team, manages conflicting appointments and/or events, and keeps open communication internally and externally.

• Manages the internal calendars for Q Station meetings and events, and staff out-of-office dates (business travel and time off)

• Arrange travel, accommodation, itineraries, and all correspondence related to travel arrangements for the executive team.

• Prepares executive-level reports and presentations.

• Proactively communicates with the team to maintain and provide reminders for ongoing monitor list for all deadlines associated with contracts, grants, etc.

• Take and distribute meeting minutes as requested.

• Prepares Board packets and distributes them to all prior to scheduled board meetings.

• Researches, prioritizes, and follows up on issues needing attention from the CEO.

Things you are accountable for

•Management of the CEO’s calendar, and the calendars of other executive team members as requested.

• Exercising discretion and confidentiality regarding sensitive company and customer information.

• Being punctual, reliable, and dependable.

Candidate Requirements

• Minimum of five years’ experience in an administrative role supporting executive-level management, preferably in a non-profit organization.

• Bachelor’s degree in business administration, communications and/or relevant field is preferred. Additional experience as an Executive Assistant can be a substitute for a 4-year degree.

• Strong organizational skills and excellent attention to detail.

• Exceptional verbal and written communication skills with all levels of staff, customers and partners.

• Enthusiasm for a warm, caring, tight-knit work culture.

Annual salary: $65,000 - $75,000

This position is located in Albuquerque, New Mexico. Relocation assistance is not available.
