Executive Assistant to COO

The Executive Assistant will provide high-level administrative support to the Chief Operating Officer, assisting with executive administration, reporting, communications, document preparation, and special projects while upholding Panorama’s core values.
Key Responsibilities
Executive Administration
- Maintain the COO’s calendar, appointments, and scheduling priorities.
- Provide day-to-day administrative support to the COO.
- Review, organize, and draft responses to email communications and general inquiries.
- Create presentations, reports, and professional business documents.
- Organize monthly department reporting packages and compile data into usable formats.
- Draft documents, correspondence, and other materials as needed.
- Assist with vendor and carrier contract input, tracking, and filing.
- Support special projects and additional assignments as requested by the COO.
Qualifications
- College degree in business, communications, or a related field preferred.
- Two to three years of administrative experience required.
- Executive assistant experience preferred.
- Insurance industry experience preferred.
- Strong proficiency with Microsoft Office and Adobe applications.
- Knowledge of entity maintenance desired.
- Excellent attention to detail, organization, and communication skills.
- Strong problem-solving abilities and an analytical mindset.
- Proactive, adaptable, and highly organized approach to work.
- Willingness to learn contracts, insurance operations, and related business processes.
