Project Administrator
Stuart & Company General Contractors has been building in Louisiana since 2003 — starting in the public bid market and growing into one of the region's trusted names in commercial construction. Today we're a multi-division company serving educational, governmental, healthcare, and religious clients, along with libraries, banks, athletic facilities, and office buildings across the Baton Rouge area — plus big box retail work for national chains. In 2023 we launched Stuart Facilities, our facilities maintenance division, and we're expanding our footprint into Texas, Arkansas, and the Gulf Coast. We're in a serious growth phase, and we're looking for a Project Administrator to help support that work from startup through closeout.
About the Role
The Project Administrator is a key member of the project team, working directly with and reporting to the Project Manager — every task on this list moves through the Project Manager's review before it goes out. We're looking for a strong communicator with sharp attention to detail and a real sense of urgency, who's focused on building a career in construction administration.
What You'll Do
Submittals & RFIs
· Manage the submittal and RFI logs, soliciting and tracking responses from subcontractors and the design team
· Process, log, and distribute submittal and RFI responses to the appropriate project personnel
Change Orders & Pricing
· Manage the change order log and follow up on pending approval status
· Request pricing from affected subcontractors and compose change order pricing for PM review
· Organize ASIs and distribute them to the project team
· Draft monthly weather extension of time requests for PM review
Documentation & Quality Control
· Keep construction documents (plans, specs, addenda, ASIs, CCDs) current and properly filed
· Upload and manage revised drawings in Procore, ensuring accurate formatting and revision sequences
· Transmit all RFI, submittal, and change management documentation to the field team
Meetings
· Prepare weekly subcontractor and OAC meeting agendas, including RFI, change order, and submittal logs
· Prepare sign-in sheets and distribute approved agendas, schedules, and Procore logs
Project Accounting
· Review weekly invoices with the Project Manager and prepare monthly pay application entries
Closeout
· Organize and distribute punch lists, tracking real-time completion status from field staff
· Assemble closeout documents and warranties for transmittal to the owner
What You Bring
· Strong written and verbal communication skills
· Excellent attention to detail and follow-through
· Comfortable managing multiple logs, deadlines, and moving pieces at once
· Experience with Procore or similar project management software a plus
· Prior experience in commercial construction administration preferred
