Job Functions
Pleasantly greeting and directing visitors
Answering incoming calls on a multiline phone system and transferring accordingly
Checking voicemails for main line and various staff members and transcribing messages
File creation, scanning, photocopying, faxing
Receiving and sorting incoming mail
Running errands to other departments on campus and occasionally to off campus vendors as necessary
Uploading documents to departmental drives and EMS
Inventory office supplies and create orders as necessary
Maintain concession stand inventory, place orders, receive deliveries, and pickup supplies as necessary
Maintain schedule of availability for shared use practice rooms and unlock/lock for Monday-Friday use
Maintain inventory of table linens based on event schedule. Order, pickup and drop-off (on campus) and maintain organization of laundry room
Maintain copies of purchase receipts and direct appropriately for payment processing
Assist with deposits, including data entry in deposit log, delivery of deposits to campus drop box, and filing
Maintain bi-weekly timesheet reconciliation spreadsheet for employees
Assists event coordinators in preparing and distributing event paperwork, including signage, event notes, crew sign-in sheets, etc.
Provide potential clients with basic facility rental information as directed by the Event Coordinators
Provides office coverage when full-time staff are in meetings, managing events or at lunch
Marginal Functions
Occasionally assist with event set up, execution or clean up as directed by the Event Coordinators
Other duties as assigned by Event Coordinators
