The Events Coordinator supports the execution, production and logistics of Regional Liberty Forums (RLFs), Liberty Forum and Freedom Dinner and small meetings under the guidance of the Director of Events. This role is crucial in ensuring seamless execution of events and requires a high-performing and enthusiastic individual who can provide superior customer service and enjoys maintaining processes and procedures.
Core responsibilities for this position include but are not limited to:
- Coordinate and execute RLFs and small meetings in collaboration with the Director of
Events.
- Assist in managing the Request for Proposal process and site selection for small
meetings and RLFs.
- Request quotes from AV companies for RLFs and assist in the negotiating process.
- Coordinate vendors including venue, audiovisual, transportation, entertainment, translation and exhibitors to ensure smooth event operations.
- Manage printed and digital designs with the audiovisual provider and Atlas Network Marketing team to create the layouts of the events production.
- Manage the setup and breakdown of events and ensure all meeting rooms are set up according to the meeting requirements.
- Drive consistency in the shared google drive and Monday.com boards.
- Manage and track the department's payments through Salesforce.
- Conduct post-event evaluations, assist in final bill reconciliation and prepare reports for continuous improvement.
- Manage the speaker travel for our Regional Liberty Forum.
- Back-up for the Event support email through Cvent.
- Provide any Events information to fulfill funding proposals.
- Packing and organizing all meeting materials for RLFs and LFFD.
Required Qualifications
- 2+ years of relevant event/meeting planning experience.
- Proficiency in Microsoft 365 Suite (Word, Outlook, Excel, PowerPoint).
- Proficiency with Google Workspace (Mail, Sheets, Docs, Drive, Meet, Calendar, Chat, Slides, Forms).
- Proficiency with Monday.com and Salesforce.
- Ability to exercise discretion and provide superior customer service.
- Excellent project management skills with the ability to balance competing demands.
- Strong communication skills, with the ability to interact professionally with diverse stakeholders.
- Attention to detail and ability to produce high-quality work.
- Bachelor's degree in Event Management, Hospitality, Business Administration, or a related field (or equivalent practical experience).
- Proficiency in Spanish or another language (written and spoken) is strongly preferred.
- Strong organizational and time management skills with exceptional attention to detail.
- Ability to work effectively both independently and as part of a team in a fast-paced environment.
- Excellent communication and interpersonal skills with the ability to interact professionally with diverse stakeholders.
- Must be legally eligible to work in the United States without the need for sponsorship, now or at any time in the future.
Preferred Qualifications
- Familiarity with principles of liberty, free-market economics, or related fields.
- Experience working with international stakeholders and multicultural environments.
Travel Requirements
- Domestic and international travel required (minimum 5 trips annually).
- Typical trips range from 4–7 days.
- Must possess or be able to obtain a valid passport.
Location
Preference will be given for candidates that live within the DC Metro area. We will not be considering international applicants.

The salary range for this role is $55,000-$62,000.
