THE OPPORTUNITY
We are looking for an Executive Assistant / Government Affairs Coordinator who is sharp, proactive, and genuinely excited about California politics. This is not a background role. You will work directly alongside Managing Partner Pamela Lopez, one of California’s most respected political strategists and lobbyists, supporting her work across over a dozen active client accounts.

The right candidate does not wait to be told what needs to happen. They observe, think critically, and act. In government relations, the ball is never in the other person’s court — follow-up is everything, and every interaction with a client, legislator, or stakeholder is an opportunity to make someone feel seen, heard, and well-served.
This role is approximately 75% executive support to Pamela Lopez and 25% support to the broader policy team.
KEY RESPONSIBILITIES
Executive & Administrative Support
• Manage Partner Pamela Lopez’s calendar, scheduling, and correspondence with precision and urgency
• Coordinate meeting requests with legislators, legislative staff, agency officials, and clients — always projecting professionalism and follow-through
• Draft and proofread correspondence, agendas, briefing documents, meeting summaries, and client communications
• Maintain contact lists, filing systems, and internal tracking tools to keep fast-moving work organized
Client-Facing Support
• Ensure clients feel like VIPs — well-prepared, well-informed, and well taken care of at every touchpoint
• When clients come to Sacramento, build full schedules: coordinate logistics, prepare agendas, gather and organize policy documents, and brief clients on who they’re meeting and what to expect
• Pull relevant materials from past meetings, compile background on legislators and officials, and help clients walk into every room ready
• Act as a trusted partner and first point of contact — responsive, discreet, and professional at all times
Legislative & Policy Coordination
• Track legislative, regulatory, and budget developments relevant to client priorities using CapitolTrack and other tools
• Help synthesize policy conversations to support meeting requests, client strategy, and advocacy positioning
• Assist with coalition coordination, event logistics, and public affairs activities as needed
Office & Operations Support
• Support invoicing, contracts, and correspondence with the firm’s accountant using QuickBooks
• Maintain productivity using tools like Google Calendar
• Handle day-to-day office needs: scheduling lunches, booking reservations, managing receipts, and keeping the office running smoothly
• Dress in business formal at all times

PREFERRED QUALIFICATIONS
• Bachelor’s degree or equivalent experience
• Interest in California government, public policy, advocacy, lobbying, campaigns, or public affairs
• Experience in a legislative office, political campaign, nonprofit, association, consulting firm, or executive support role is a plus — but not required
• Comfort with Google Workspace, Microsoft Office, Zoom, and shared project management tools
• Familiarity with CapitolTrack, QuickBooks, Canva or Monday.com is a bonus
COMPENSATION & BENEFITS
• $25–$35 per hour, depending on experience
• Formal attire allowance available
• Full-time, Monday–Friday, 9am–5pm
• In-office, Sacramento, CA
• Expected start date: July or August
