WRTP | BIG STEP is seeking a Program & Outreach Coordinator to support workforce training programs that connect individuals to family-supporting careers. This role plays a key part in ensuring strong participant engagement, smooth program operations, and successful outcomes.
This is a hands-on, program coordination–focused position responsible for managing day-to-day program operations and supporting participant success throughout the program lifecycle. The Coordinator leads scheduling, logistics, and participant engagement efforts, with outreach, recruitment, and intake support provided as needed to maintain a strong program pipeline.
This role primarily focuses on program coordination, ensuring efficient execution and participant progression, while assisting with outreach and intake activities when available and needed.
The Coordinator works closely with participants, staff, and community partners to move individuals through the program pipeline—from initial contact through enrollment and participation. This position operates independently within established program structures and under the guidance of program leadership.
This is a represented (union) position and does not include supervisory or program design responsibilities.
Essential Duties and Responsibilities
Program Coordination & Execution
- Coordinate daily operations of workforce programs, including scheduling, logistics, and participant communication
- Facilitate soft skills training and deliver assigned curriculum content as needed to support participant success
- Support participant movement through outreach, orientation, testing, intake, and enrollment
- Assist with orientations and coordinate testing activities (e.g., Accuplacer)
- Track participant engagement and share updates with leadership
- Identify and communicate operational issues and support continuous program improvement
Outreach, Recruitment & Community Engagement
- Support outreach and recruitment activities to build a strong participant pipeline
- Deliver presentations and participate in community events
- Respond to program inquiries and provide accurate information
- Support and maintain relationships with community partners
Intake & Onboarding
- Support intake and onboarding processes, including eligibility verification and documentation
- Assist with participant readiness processes and engagement strategies
- Maintain accurate participant data in ETO or other systems
- Conduct follow-ups and connect participants to supportive services
Data & Compliance
- Maintains accurate and timely records
- Tracks participation metrics and program activity
- Assists with reporting and documentation requirements
- Participates in audits as needed
Work Environment
- Ability to occasionally lift and carry up to 25 pounds and perform physical activities such as standing, walking, bending, and reaching
- Ability to communicate effectively in person, by phone, and through digital platforms
- Regular use of computers, office equipment, and data systems
- Work is performed in both office and community-based settings, including travel to outreach events, partner sites, and program locations
- Flexibility to work occasional evenings and weekends based on program needs
Requirements
Minimum Qualifications
- Bachelor’s degree or equivalent combination of education and experience
- 2+ years of experience in workforce development, outreach, program coordination, or supportive services related to employment
- Experience coordinating program delivery
- Strong organizational skills and ability to manage multiple priorities
Additional Requirements
- Proficiency in Microsoft Office and ability to learn data management systems (ETO preferred).
- Valid driver’s license, reliable transportation, and proof of insurance required.
- Ability to work flexible hours, including occasional evenings and weekends.
- Experience with workforce programs (WIOA, FSET, DOL/DWD programs) preferred.
