Special Events Associate
The Special Events Associate will support the execution of bespoke editorial experiences and tentpole events for Vogue Magazine. This position requires someone who is highly organized, detail-oriented, proactive, and eager to grow within the events industry. The ideal candidate thrives in a fast-paced environment, enjoys managing multiple projects simultaneously, and works collaboratively as part of a team.
The candidate should have some experience supporting live events and possess a strong interest in event production, hospitality, and experiential marketing. An understanding of digital, print, and social media platforms is a plus.
The Special Events Associate should be a team player with strong organizational and communication skills, a solutions-oriented mindset, and a commitment to delivering exceptional experiences for guests and partners.
Primary Responsibilities
- Support the Director of Special Events in the planning and execution of editorial and commercial events, including private dinners, cocktail parties, panels, screenings, and subscriber experiences.
- Assist with event logistics, including venue research, vendor coordination, guest communications, transportation, gifting, staffing, and on-site execution.
- Maintain project timelines, run-of-shows, guest lists, and seating documents.
- Coordinate with vendors, venues, and external partners to ensure event deliverables are completed accurately and on schedule.
- Support invitation management, RSVP tracking, credentialing, and guest experience initiatives.
- Assist with sourcing event materials, rentals, décor, and production needs.
- Prepare presentations, briefing materials, and event documents for internal and external stakeholders.
- Manage meeting scheduling and calendar coordination for the Special Events team, including internal planning meetings, vendor calls, site visits, and stakeholder check-ins; maintain accurate calendars and ensure key project milestones and deadlines are reflected across teams.
- Provide on-site event support, including setup, guest management, talent handling, and breakdown.
- Assist with budget tracking, invoice processing, and post-event reporting.
- Support the Special Events team on additional marketing, editorial, and client entertainment initiatives as needed.
Desired Skills & Qualifications
- Bachelor’s degree and 1–2 years of experience in events, hospitality, experiential marketing, public relations, or a related field.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities and adapt quickly in a fast-paced environment.
- Excellent written, verbal, and interpersonal communication skills.
- Positive attitude and willingness to take initiative.
- Some experience coordinating vendors and external partners.
- Comfortable working evenings and weekends as event schedules require.
- Proficiency in Google Workspace, Microsoft Excel, PowerPoint, and event management platforms such as LaunchMetrics and zkipster.
- Interest in fashion, media, luxury, and culture.
The expected base salary range for this position is from $66,400 - $75,000. Salary offers are based on a wide range of factors including but not limited to relevant skills, training, experience, and education.
