Position Purpose

The Office Coordinator coordinates office operations, office resources, and office improvement projects. The Coordinator responds to team member requests and collaborates with others to facilitate, administer, monitor, and maintain resources for various projects and initiatives. This position facilitates a welcoming, productive, and safe work environment for team members and visitors and has a passion for exceptional customer service.

The Impact You'll Make

Office Operations

  • Coordinates office operations, including conducting inventories, as well as ordering, stocking, and maintenance of office and kitchen supplies
  • Facilitates a welcoming experience for visitors and team members by maintaining common areas and serving as the first point of contact in the KW workplace
  • Collaborates with the Workplace Experience/Facilities team members to ensure optimal office operations and visitor experiences
  • Maintains cleanliness, organization, and presentation of Keller Williams (KW) workplace common areas, kitchen, and conference rooms, including tidying and restocking
  • Collaborates with the Workplace Experience/Facilities team members to monitor and inventory all KW printed materials and supplies
  • Serves as backup for monitoring badge activity, system tracking, and updating records within the badging software
  • Distributes incoming mail and deliveries

Facilities Operations

  • Delivers responsive support and thorough follow-through related to new hire workplace inquiries, utilizing inbox monitoring and on-site triage to resolve or escalate requests

Workplace Experience

  • Assists with ensuring an exceptional New Hire experience through logistics facilitation of New Hire Orientation meetings, including meeting room reservations, technology video and audio set-up, and meeting invitations
  • Ensures an exceptional New Hire experience through logistics facilitation of in-office desk set-up and confirmation of facilities badge access
  • Assists with developing and implementing a year-round workplace experience strategy for impactful team member engagement and culture enhancements
  • Collaborates on initiatives that enhance workplace culture and team member connection
  • Performs administrative and operational support for Workplace Experience projects and initiatives

Process Improvements

  • Identifies and recommends opportunities for process improvements and efficiencies related to office operations and supply management
  • Identifies and recommends opportunities for workplace experience continuous improvements
  • Assists in the identification and implementation of best practices and in the maintenance of guidelines and process documentation

Other

  • Provides workplace tours to visiting agents as needed
  • Assists with team projects and special assignments as needed
  • Performs other duties as assigned

The Experience You'll Need

Minimum Requirements

  • Bachelor's degree. Four (4) years of relevant education and work experience may be substituted for degree
  • Minimum of two (2) years of coordination and customer service experience, preferably in office or facilities administration
  • Polished and professional demeanor
  • Excellent verbal, written, interpersonal, and listening communication skills, with the ability to interact professionally with team members, visitors, and external vendors
  • Proficiency in Microsoft Office, including Excel, Word, PowerPoint, Outlook, and Slack
  • Ability to quickly learn new systems, tools, and workplace processes
  • Strong organizational skills with the ability to manage multiple tasks and priorities
  • Ability to provide high-quality customer service in a fast-paced environment
  • Strong attention to detail and follow-through on all tasks

Preferred Requirements

  • Experience in a customer-facing environment or office operations role in a corporate environment
  • Familiarity with building management coordination

Knowledge

  • Proficiency in Microsoft Office, including Excel, Word, PowerPoint, and Outlook
  • Understanding of customer service principles and workplace hospitality standards
  • Familiarity with basic office operations and facilities management coordination

  • Ability to physically work onsite at the Austin, Texas corporate office five (5) days per week
