The Opportunity

At Lavinia Group, a division of K12 Coalition, the Associate, Operations supports the successful delivery of Lavinia Group's products and services by providing project coordination, operational support, and logistical execution across multiple initiatives. This role helps ensure projects, trainings, events, and operational processes are organized, efficient, and completed on time.

Working closely with leaders and cross-functional teams, the Associate, Operations coordinates project activities, manages operational workflows, supports client and internal needs, and helps maintain the systems and resources that enable successful program delivery.

As Lavinia Group continues to strengthen and modernize its operational practices, this role will play an important part in supporting process optimization, leveraging technology to improve efficiency, and helping the team identify scalable ways of working across the division.

This role is ideal for someone who enjoys learning new systems, embraces technology and AI-enabled tools, and takes initiative to independently solve problems, build knowledge, and navigate unfamiliar situations in a remote work environment.

The Associate, Operations reports to the Senior Director, Operations.

What You’ll Do

Project Coordination & Execution

  • Support the implementation of multiple projects and initiatives across various stages of the project lifecycle.
  • Coordinate project activities, timelines, deliverables, and follow-up actions to support successful execution.
  • Monitor project tasks and deadlines to ensure work progresses according to established timelines.
  • Communicate effectively with internal stakeholders to support project completion and alignment.
  • Contribute to an iterative approach to planning, development, review, and continuous improvement.
  • Leverage technology, AI-enabled tools, and available resources to independently research solutions, build knowledge, and support project execution.
  • Identify opportunities to improve workflows, streamline processes, and increase operational efficiency across projects and team activities.

Operational Support

  • Support leadership and project teams by organizing materials, coordinating deliverables, and managing project-related logistics.
  • Maintain organized systems and processes that support efficient operations.
  • Assist with tracking priorities, deadlines, and operational activities across multiple workstreams.
  • Work independently in a remote environment while managing competing priorities and deadlines, proactively identifying solutions and utilizing available resources to move work forward.

Training & Event Logistics

  • Coordinate logistics for virtual and in-person trainings, meetings, and events.
  • Support participant registration, communication, scheduling, materials preparation, and event execution.
  • Assist with planning and execution of annual team retreats and other organizational gatherings.
  • Ensure training and event materials are organized, accurate, and accessible.

Client & Partner Support

  • Serve as a point of contact for client inquiries and operational requests, ensuring timely communication and follow-through.
  • Support the preparation and distribution of client-facing materials and resources.
  • Coordinate operational activities that contribute to a positive client experience.
  • Escalate questions or issues to appropriate team members as needed.

Systems, Data & Resource Management

  • Manage and maintain content on digital platforms and internal systems.
  • Organize and maintain client-facing and internal digital resources.
  • Support supply ordering, book ordering, and inventory-related processes.
  • Create reports, analyze data, and maintain tracking systems using Google Sheets and other operational tools to support decision-making and organizational initiatives.
  • Maintain accurate records and documentation to support operational effectiveness.
  • Support the ongoing optimization of operational systems, processes, and technology tools to improve team effectiveness and scalability.

Other Duties

  • Support the team with additional tasks and responsibilities as needed to help meet evolving organizational goals and objectives.

Qualifications

  • Bachelor's degree preferred or equivalent combination of education and relevant experience.
  • 3-5 years of experience in operations, project coordination, administration, program support, event planning, or a related field within a fast-paced work environment.
  • Strong organizational skills with the ability to manage multiple projects, priorities, and deadlines simultaneously.
  • Advanced proficiency in Google Workspace, including extensive experience using Google Sheets for reporting, data tracking, analysis, organization, and operational decision support.
  • Experience coordinating logistics, schedules, materials, and operational processes across multiple workstreams.
  • Experience utilizing customer relationship management (CRM), project management, and workflow optimization tools to support operational effectiveness.
  • Experience leveraging AI-enabled productivity tools such as Claude, ChatGPT, Gemini, or similar technologies to support learning, problem-solving, efficiency, organization, and workflow management.
  • Experience maintaining digital resources, systems, databases, or learning platforms.
  • Familiarity with Canvas Learning Management System (LMS), including administrative and/or course design functions, preferred.
  • Strong written and verbal communication skills with the ability to collaborate across teams and support internal and external stakeholders.
  • Demonstrated attention to detail and ability to maintain accuracy in a deadline-driven environment.
  • Demonstrated ability to work independently in a remote environment, effectively balancing competing priorities while exercising sound judgment and initiative.
  • Strong problem-solving skills with the ability to independently research solutions, learn new tools and processes, and apply critical thinking to operational challenges before escalating issues when appropriate.

Compensation Range

The compensation range for this position is $55,000.00 - $65,000.00/annually.

As part of our commitment to maintaining fair and consistent compensation practices, new hires are typically brought into the organization at a salary between the band minimum and midpoint, based on their qualifications, location, internal alignment, and the budgeted amount for the role.
